We are looking for an organised, proactive and detail-oriented HR Administrator to join our HR team at Derby County Football Club. This is an exciting opportunity to play a key role in delivering a professional and efficient HR service across the Club.

 

Working closely with the Head of HR, HR Advisor and Payroll & HR Assistant, you’ll provide high-quality administrative support throughout the employee lifecycle – from recruitment and onboarding to maintaining employee records, supporting training administration and ensuring our HR systems remain accurate and up to date.

 

This role is ideal for someone who enjoys working in a fast-paced environment, takes pride in delivering excellent customer service, and has a passion for ensuring processes are completed accurately and efficiently.

 

Key Role Responsibilities:

 

HR Systems & Employee Records

  • Maintain HR system records in line with instructions received from the HR team, ensuring employee data is accurately updated and recorded.
  • Process approved employee changes, including starters, leavers, and contractual amendments, within HR systems.
  • Ensure employee records are kept up to date and filed correctly in line with GDPR requirements.
  • Produce routine HR reports as requested by the HR team.

 

HR Administration

  • Prepare employment contracts, offer letters, and variation letters based on approved templates and instructions.
  • Support onboarding administration, including documentation distribution, collection, and system updates.
  • Process leaver documentation and ensure HR records are updated following instructions.
  • File and maintain employee documentation accurately and securely.
  • Carry out HR administrative tasks as directed by the Head of HR, HR Advisor, or Payroll & HR Assistant.

 

Recruitment Administration Support

  • Provide administrative support for recruitment activities, including advertising roles and scheduling interviews and interview note-taking where required.
  • Coordinate candidate communications in line with instructions from HR Advisor or hiring managers.
  • Maintain recruitment documentation and ensure records are accurately stored.
  • Ensure candidates receive timely communication as part of the recruitment process.

 

Training & Development Administration

  • Update training records on HR systems as directed.
  • Monitor completion of mandatory training and issue reminders in line with HR instructions.
  • Maintain accurate training documentation and support reporting requirements.
  • Assist with the coordination of training sessions, including scheduling and attendance records.

 

HR Inbox & General Administration

  • Manage HR inboxes by responding to routine queries and escalating complex matters to the appropriate HR team member.
  • Provide administrative support for HR meetings, including minute-taking where required.
  • Support the preparation and distribution of HR documentation as instructed.
  • Carry out general HR administrative duties as directed.

 

Compliance, Safeguarding & General Duties

  • Comply with safeguarding, health and safety, GDPR, and organisational policies at all times
  • Maintain confidentiality of all employee and organisational information
  • Promote equality, diversity, and inclusion in all administrative activities
  • Represent the organisation professionally in all interactions
  • Undertake any other duties as reasonably requested by the Head of HR or HR team

 

 

Personal characteristics and experience:

  • Previous experience in a customer service-focused role.
  • At least one year of administration experience.
  • At least one year of experience within an HR function.
  • Excellent written and verbal communication skills with the ability to build positive working relationships.
  • Strong organisational skills with the ability to prioritise workload, meet deadlines, and work effectively in a fast-paced environment.
  • Excellent attention to detail and accuracy, including proofreading and maintaining high-quality records.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Proficient IT skills, including Microsoft Office applications (Word, Excel, PowerPoint) and the ability to learn HR systems.
  • Proactive, flexible, and self-motivated, with the ability to work both independently and collaboratively as part of a team.

 

Qualifications:

Essential

  • English and Maths to GCSE Level 4 or Grade C or above
  • UK Driving License, with access to vehicle

 

Desirable

  • A Level or BTEC qualification or equivalent
  • CIPD Level 3 HR Support OR other relevant qualification

 

 

This is a part-time, office-based role at Pride Park Stadium with occasional travel to Moor Farm Training Centre, offered on a fixed-term contract until 31 December 2027. The successful candidate will work 25 hours per week over five days (Monday to Friday). We are happy to discuss and agree on a daily working pattern before employment commences; however, the 25 hours must be worked evenly across the five working days to meet the role’s needs.

 

The salary is £24,000 per annum, pro rata.
