Job description

For centuries, our Armed Forces have managed an in-house postal service, delivering mail across our military history including both World Wars. The British Forces Post Office is dedicated to providing postal and courier services to the UK Armed Forces and is a renowned brand across Defence. Our 280 dedicated, hard-working civilian and military staff work collaboratively to deliver both personal and official mail to over 650 locations across the globe; keeping our armed forces connected through free letter and parcel services that play a vital role in sustaining the morale of our Armed Forces.

The Defence Mail Service delivers mail to UK service personnel deployed overseas and Foreign & Commonwealth Offices across the globe, and also manages deliveries from business and retailers in contract with our British Forces Post Office site. The Defence Mail Service distributes official UK Armed Forces mail between BFPO HQ and ten UK Defence Mail Centres, while the Defence Courier Service provides secure national and international courier delivery of Protectively Marked (security-sensitive) Material for the UK Armed Forces and other organisations.

Responsibilities

Working within the Defence Mail Service, we are looking for dynamic, self-motivated, hard-working and organised individuals who can work in a customer-focused environment and to tight timescales, while remaining positive and focused on delivery.

Our Mail Operators ensure that the armed forces mail is handled in a secure, safe and timely fashion. You will be responsible for ensuring the correct receipting, sorting and dispatch of all types of mail in a secure, logical and methodical manner.

Part of your role will be to follow standard mail handling procedures, including managing irregularities such as damaged, broken, loose or otherwise different items; including prohibited and restricted mail items.

We are looking for a hard-working and focused individual, who has a practical approach to work, that will keep you safe, and our customer’s mail secure and moving rapidly.

Key Responsibilities include:

• Audit, record and maintain accurate accounts documentation.
• Accurate and secure redirection, location, trace and personal verification duties securely process, record, file and keep records of protectively marked material items.
• Item security checks and account balancing and reconciliation up to 3 times daily.
• Manage location security including vault security and maintenance and operation of key registers.
• Deal with prohibited and restricted mail items and all mail irregularities including damaged, broken or loose items/bags and box returns according to DE&S processes, ensuring it is documented correctly.
• Loading and unloading mail from containers, vehicles or other transport mediums.

You will be required to carry out Road Service Schedules ensuring timely delivery of mail, carrying out driver and courier duties in accordance with standing orders and security regulations.

Manual handling will play a pivotal part in this role, as the successful applicant will be required to lift mail items up to 11kg unaided and 30kg assisted with the ability to collaborate to move heavier items.

*Please note that this position is working on a part time (29.5 hours) basis, although some additional hours or flexible working will be expected to meet road service schedule and the exact duty timings will be discussed at interview. *

What you will be assessed against

To be found successful you must demonstrate the following essential criteria:

• A full Manual UK driving license and be able to drive a transit size van on a rotational basis.
• The ability to lift heavy mail items and working in a warehouse environment including a large vaulted area with processing space requiring PPE (which must be worn at all times).
• Mathematics and English Language GCSE’s (or equivalent) at grade C or higher, or relevant postal service experience.

It would benefit your application should you be able to demonstrate the following desirable criteria:

• IT proficient – As you will be ensuring the receipt, process and assurance of e-commerce mail items via courier delivery using the correct IT system.

The Integrated Logistics (iLog) Function is the integrating Function for Support within DE&S, responsible for the development, management and delivery of in-service support for our front-line command customers. The iLog Function consists of around 2,900 personnel, both civil servants and military, and with a wide range of disciplines ranging from operations management and supply chain management, technical through-life support and logistics delivery, to modelling and analysis and internal continuous improvement consultancy services.
