Full-Time Business and Operations Manager

Job Description

The Business and Operations Manager will be responsible for overseeing the day-to-day operations of the organization. This includes managing payroll, scheduling and coordination, inventory, contact payments, financial projections, financial reports, budget forecasts, accounts payable, accounts receivable, and logistics. The ideal candidate will have experience in non-profit organizations and be familiar with accrual accounting.

The Business and Operations Manager will also be responsible for managing QuickBooks and Microsoft Excel to ensure accurate financial records. They will work closely with the executive team to develop and implement financial strategies that support the organization’s goals.

The Business and Operations Manager will be responsible for ensuring that all operations and facilities are running smoothly. They will be responsible for creating and implementing policies and procedures that improve efficiency and productivity.

Full Time: Monday through Friday 9-5; some evening and weekend work required for special events and board meetings.

Location: Chicago, IL, 60613 Onsite

Compensation and Benefits
● $46,000 -50,000/yr
● Paid sick leave, generous vacation time, and health insurance, dental insurance and flex time for evening work.
Responsibilities: 
  • Administration of company insurance policies for employees and business operations
  • Formalize policies and procedures in accordance with HR and labor standards
  • Oversee contract administration for all vendors, and contractors including production contractors; manage vendor relationships for operational vendors such as landlords and service providers;
  • Act as staff liaison to HR and Accessibility Committees.
  • Record financial transactions, update and maintain financial records, and track the organization’s income and expenditures. Check account records for accuracy, conduct monthly reconciliations of all accounts.
  • Responsible for the creation of short term cash flow projections and budgetary forecasts
    • Responsible for yearly, quarterly, and monthly cash flow projections and budgetary forecasts
    • Work with department heads and other staff and board members to review departmental cash flow projections
  • Assist the Leadership Team in short- and long-term fiscal planning
    • Coordinate and assist in the creation of the annual budget
    • Coordinate and assist in the creation of monthly and yearly forecasts for the organization
  • Responsible for the execution of the annual budget, providing assistance to all departments on budgetary review and analysis
    • Includes monthly and quarterly analysis of all departments with department heads
    •  Manage administrative budget lines (approximately $320k)
  • Help to establish, maintain and oversee the implementation of operating procedures and systems of control for all financial transactions
  • Coordinate and oversee the annual audit, including overseeing fieldwork in partnership with outside audit firm and presentation of audit to the Finance Committee
    • Communicate financial information to the staff & board
    • Creates monthly financial statements for the Board & Departments, as needed
    • Act as staff liaison to the Finance Committee
  • Process payroll for bi-weekly staff payroll, the weekly production payroll, and the accurate processing of quarterly tax reports
  • Manage payroll & payables operations and compliance
  • Maintain all tax records
  • Maintain not-for-profit status, tax-exempt documents, etc.
  • Prepare checks for bank deposits; process credit card payments and donations, monitor petty cash.

Qualifications:

  • Bachelor’s degree in Business Administration or related field
  • 3+ years of experience in operations management
  • Experience with QuickBooks and Microsoft Excel
  • Strong organizational and communication skills
  • Ability to work independently and as part of a team
  • Demonstrate a superior level of customer service and follow-up skills
  • Experience in non-profit organizations is preferred
