Full-Time Administrative Assistant – Posted by Emeryville, California, United States

Job Description

You will be part of the Environment & Health Division in either our San Francisco office or our Emeryville, California office. You will join a small department of 6 members to support 60 Environmental Consultants. The team is the go-to for all internal office needs and the primary responsibility involves report production (including proofreading, formatting and physical production.)

Your key tasks will be as follows:

Report and Technical Production
Review, format, proof and assemble client deliverables
Organize and maintain project files including project set-up
Create spreadsheets, enter and import data into MS Word documents
Compose letters and routine correspondence

Executive Assistant tasks
Coordinate travel arrangements
Assist in management of Principal/Manager contacts and calendar
Assist in accounting duties – working with timesheets, invoices, etc.
General Administrative Support and Back up
Plan, set up and clean up catering for meetings and events
Provide back-up receptionist support and book conference rooms
Assist in recruiting process, including resume review and phone screens
Perform daily kitchen upkeep such as stocking supplies and loading dishwasher

Desired Qualifications:

Self-starter able to quickly grasp issues and balance details with big picture results
Strong skills in time management, prioritizing tasks, and meeting critical deadlines
Ability to work with a wide variety of work styles.
Advanced Microsoft Word skills, particularly the use of styles, table of contents, footnotes feature
Proficient in Microsoft Excel, Outlook Calendar, PowerPoint, and Adobe Acrobat
Keen eye for detail and accuracy
