Role Description The Administrative Assistant is a full-time, primarily work from home position based in North Carolina, supporting day-to-day operations and ensuring smooth office functioning.
- maintaining clinician pay sheet
- following up with outstanding client balances
- verifying copays for new clients
- assuring completion of paperwork
- on-boarding new clinicians (making sure their paperwork is completed)
- meeting coordination
- maintaining records
- social media management
- updating the blog (we write it, you post it)
- following up with referral sources and client queries
- occasional marketing including attending tabling events (not all, travel paid)
- wrangling owner through schedule and email assistant
- other duties as discussed
- managing the office phone
- Primarily Monday through Friday; starting and ending can range anytime from 8am-7pm you choose the hours as needed so you can fit things around whatever life stuff you have going on
- Any weekend tabling events will result in flex time or overtime as your choice
Qualifications
- Strong administrative assistance skills, including scheduling, data entry, and document management.
- Professional phone etiquette and customer service skills for handling calls and visitor inquiries-this means dealing with insurance companies too so patience is necessary.
- Clear and respectful communication skills, both written and verbal, for interacting with clients, clinicians, and referral sources.
- Executive administrative assistance capabilities, such as calendar management and meeting coordination for leadership.
- Clerical skills including filing, recordkeeping, and basic office organization.
- Ability to maintain confidentiality, and manage multiple tasks with attention to detail.
- Comfort using office software and tools (e.g., email, word processing, spreadsheets); experience with databases is a plus.
- Comfort with a growing organization

- Comfort with Instagram, Facebook and website management
- Comfort with marketing outreach
- Prior experience in an administrative or office support role is preferred
- Bachelors Degree preferred
- Desire to work in mental health field preferred
Pay Rates & Benefits
- Starting pay is $19 per hour for 40 hours a week
- $250 insurance stipend
- 11 paid holidays
- PTO-1 hour per 40 hours worked
- First 6 month review; then yearly review for pay rise
- W-2 Position
- Primarily work from home; occasional site visits with all travel paid
- Schedule flexibility-yes you mostly work Monday through Friday but you determine your hours within the above given range.
