Full-Time Executive Assistant
Job Description
Provide professional administrative and secretarial support for assigned executives to ensure these functions are cost effective, timely and contribute to the accomplishment of company objectives. Work assignments are complex in nature, where considerable judgment, tact, creativity, and initiative are required in resolving problems.
What you will do:
- Provide administrative and secretarial support for key executives. Serve as a liaison between executives, managers and visitors as required.
- Schedule appointments and coordinate arrangements for meetings, conferences and trips making sure the executive meet their commitments. Assemble necessary background material for meetings. Maintain personal calendar for the executive.
- Draft confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative duties as requested.
- Resolve problems requiring in-depth knowledge of company policies and procedures, and projects in progress. Take independent action on handling requests; determine the appropriate course of action, intervene when necessary, and act as a liaison between departments.
- Coordinate data from a variety of sources for inclusion in technical reports and presentations; perform independent research and prepare information for special projects as assigned. Interpret and relay company policy information; keep executive(s) informed of any deviation on items requiring personal attention.
- Develop and maintain both electronic and manual filing systems. Retrieve information and correspondence on a daily basis to ensure immediate access to file data for execution of executive’s duties.
- Maintain logs and records of the executive’s vacation schedule, and attendance records.
- Screen and direct incoming calls, correspondence and visitors. Communicate with both internal and external customers. Route and answer routine correspondence not requiring the executive’s attention to ensure timely and accurate response.
- Perform other duties as assigned.
What you need to succeed:
- Associate’s or Bachelor’s degree in secretarial science, business administrative, or related field, or an equivalent combination of education and experience
- Four or more years experience supporting senior level management
- Must maintain a high level of confidentiality and professionalism
- Ability to research data, identify trends and recommend appropriate actions
- Ability to work independently under general instructions and responds to inquiries and questions associated with the executive’s position.
- Detail oriented
- Ability to work successfully in a matrix environment
- Demonstrated written and verbal communications skills
- Ability to exercise sound judgment
- Ability to establish and maintain strong working relationships with various stakeholders
- Ability to organize work efficiently to meet established time and quality standards

- Proficiency with Microsoft Suite of products, i.e., Word, Excel, PPT, etc
