Purpose of Role
The Office Manager is a foundational role that ensures the entire office operates with efficiency, transparency, and is always welcoming to residents. This role’s primary purpose is to manage daily operations and critical administrative logistics, thereby freeing the executive, policy and community teams to focus on policy, advocacy, and direct service delivery to the community.
Role Summary & Reporting Structure
This is a full-time position that directly supports the day-to-day well-functioning of the entire executive office, providing additional support to the Council Member. The Office Manager oversees daily operations to maintain a constituent-focused environment and reports directly to the Chief of Staff.
Time Commitment
This is a full-time salaried position. Due to the community-centered nature of the work, the role requires a flexible schedule that includes the ability to work some early mornings, evenings, and weekends to support community meetings and events.
Core Responsibilities
A. Executive Support & Operations
Manage the Council Member’s calendar, including scheduling, screening all meetings, and coordinating internal and external event attendance.
Serve as the primary point of contact (POC) for building management, vendors, and service providers, coordinating repairs, deliveries, and maintenance requests.
Process and distribute incoming mail, packages, voicemails, and general inquiries, ensuring follow-up with the appropriate staff for timely response.
Monitor and manage the Council Member’s public email and the Office Manager’s accounts, delegating messages as necessary.
Maintain comprehensive office inventory and procure supplies for the main office and any satellite locations.
Create, manage, and maintain the Council Member’s official City Website information.
B. Financial & Administrative Logistics
Work jointly with the Chief of Staff on accounts payable processing and budget monitoring.
Coordinate the Council Member’s travel, expenses and reimbursements.
Track office expenses, assist with procurement, and prepare documentation for reimbursements and purchase orders.
Support the preparation of official correspondence, including letters and packages.
C. Community & Constituent Service
Address constituent concerns, either directly or by directing them to the Community Team for resolution.
Prepare and coordinate various city awards (e.g., Testimonial Resolutions, Spirit of Detroit Award) to support the Council Member’s community engagement efforts.
Attend internal and external community meetings, and occasionally participate and/or coordinate community events (e.g., clean-ups, resource fairs, mobile office duties) as required.
Qualifications & Candidate Profile
The ideal candidate is a self-starter who approaches challenges proactively and is solution-focused. This individual is passionate about the future of Detroit and committed to the wellbeing of its residents.
Required:
Minimum of 2 to 4 years of professional office management and administrative experience.
Outstanding written and verbal communication and interpersonal skills.
Demonstrated ability to multitask, prioritize a heavy workload, and work well independently and with a team.
Proficiency in Microsoft Office Suite.
Ability to deal effectively and compassionately with diverse community and business entities
Preferred:
Associate’s degree in office management or a relevant field.
Bilingual proficiency (Spanish or Arabic) is a significant asset.
Knowledge of issues impacting City of Detroit residents and a commitment to working with diverse cultures is highly preferred.
Salary:
$65,000-$75,000

Final salary will be determined based on the successful candidate’s experience, skills, and qualifications, as well as the specific contract type offered and the requirements of this senior-level role.
