The Program Support Specialist position works in the Quality Initiatives program within CCA. This position is responsible for clerical and administrative activities. This position works under the direct supervision of the Quality Initiatives Manager with some demand for independent judgment.

Position Details

Responsibilities

  • Customer Services: Receives calls and directs childcare providers to appropriate staff as needed. Assists callers with requested needs. Conducts phone calls to promote training events and to collect follow-up data from childcare programs.
  • Clerical/Administrative Support: Prepares reports, letters, visual aids, and other documents using various types of computer software. Assists with mass communication processing such as mailings, email, and text messaging alerts; photo copying, faxing, and collection of data to be formatted and distributed in reports. Provides administrative support to program and projects such as preparation and compilation of surveys, tracking materials orders for grant recipients, ensuring all required documents necessary for invoice payment are gathered.
  • Texas Rising Star provider compliance:  Completes screening form and files copy of form and online history electronically in Workflow and CLI Engage quarterly for each TRS provider. Submits information to TRS supervisors for review and sends copy to TRS Mentor and provider upon completion.
  • Scheduling/Meeting Planning: Schedules internal and external meetings, conference calls and other events for program staff. Helps coordinate, prepare, and arrange group meetings and childcare provider trainings.
  • Database/Data Entry: Enters data into the quality tracking database; documents in Workflow and CLI Engage accurately and timely.
  • Assists in gathering price comparisons and product quotes
  • Responsible for complying with all CCG policies and procedures including, but no limited to, EEO/Affirmative Action, ADA, Conduct, Conflict of Interest, Solicitation and Safety
  • Other duties as assigned

 

Education and Experience

High School Diploma or GED required, AA Degree in a related field preferred

At least 3 years’ experience providing administrative support

Must have above average knowledge of personal computers, including Microsoft Office 365 Suite Must be detail oriented

Able to work in a fast-paced environment Prompt and regular attendance required

Must be familiar with standard office equipment

Excellent organizational skills as well as excellent communication and written skills Experienced in maintaining a database

Bilingual in Spanish desired

Must be flexible and able to enjoy a varied workload

 

Travel and Compliance Requirements

  • Must have a valid Texas driver’s license
  • Driving record must comply with CCG’s automobile insurance carrier requirements
  • Must have liability insurance coverage and reliable personal transportation
  • Ability to travel locally or out of town as required
  • Mileage reimbursement is offered when applicable
  • Must successfully meet all compliance background check requirements for federal funding throughout employment
