Full-Time People Coordinator

WHAT WE’RE LOOKING FOR

Working as part of the People Team, you will be responsible for carrying out all the HR administration functions for the business. To be the lead with all HR / people related administration activity, and to act as a systems super-user for Oracle. Working with the Head of People to develop best practice for all people administration.

To be involved in all elements of the employee life-cycle as the first line contact on all queries and matters, referring to the Head of People and Talent Manager where appropriate.

To provide regular reports to the Head of People and the Senior Management Team (SMT) as well as supporting on people projects and initiatives.

This role reports to the Head of People.

 

KEY RESPONSIBILITIES

Onboarding / Induction 

  • Drafting and sending relevant communications with new starters
  • Setting up new starters in the Oracle system and inputting details
  • Creation of contract and offer letters
  • Writing references
  • Working with the People team to create a first class new starter experience and an engaging onboarding and induction process

 

Reward and Recognition 

  • Collating all payroll related information on a monthly basis to send to the Hearst People Hub for processing (including but not limited to: leavers, starters, pension contributions, salary increases)
  • Working with the Head of People to review benefit offering to ensure it is fit for purpose
  • Benefits champion. Ensure new joiners are fully aware of the benefits package available to them. Maintain visibility of the benefits within the business

 

Talent 

  • Updating organisation charts and uploading to the Intranet on a monthly basis
  • Ensuring up to date job descriptions exist for all roles
  • Assisting the Talent Manager with any adhoc administration as and when required

 

Reporting 

  • Monthly reports – including but not limited to: employee turnover, absence, headcount
  • Exit interview reports collated from data gathered from leavers

 

Projects 

  • Supporting the Head of People on people projects

 

General

  • To be an ambassador of iCrossing UK and its values
  • To be a champion for diversity and inclusion
  • Build and maintain strong working relationships with all colleagues and stakeholders within the business
  • You may be required to undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you from time to time.

 

WHO WE’RE LOOKING FOR

  • Previous experience working in a HR team (HR administration, recruitment, HR Operations)
  • Strong organisational, prioritisation & administration skills
  • Learning agility combined with a desire for personal and professional growth within HR
  • Experience handling highly confidential data with discretion and professionalism
  • Comfortable working with data and HR tools
  • Excellent interpersonal skills with the ability to build strong working relationships
  • Team player and comfortable working on a wide range of tasks
  • A friendly, confident, ‘can do’ attitude that is always looking for improvements.
  • Strong IT skills (word, excel in particular).
  • Excellent communication skills (verbal/writing)
