Full-Time Finance Manager

Job Description

A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.

 

Position Title:                   Finance Manager

 

Accountable to:      CFO
 

Purpose Summary:

The Finance Manager provides general oversight to the organization’s financial activity along with the associated reporting and compliance requirements, provides supervision to the bookkeeper, and supports the CFO.

 

Essential Responsibilities:

In accordance with organizational policies, duties include but are not limited to:

 

  • Manages the monthly and year-end closing process and ensures timely and reliable financial reporting. Works with CFO to implement internal controls and review process as needed.  Streamline processes for efficiency and effectiveness. Collaborate with Finance Team on improvements and changes.
  • Ensures appropriate journal entries are prepared to reflect proper financial recognition of operational transactions. Prepares and enters monthly journal entries into QuickBooks. This includes the bi-weekly payroll, and employee benefits
  • Supervises Bookkeeper, including reviews of transactional activity and account balances to ensure accuracy and consistency.
  • Reconciles bank statements for accounts the bookkeeping coordinator utilizes for deposit activity and vendor payments.
  • Produces financial records and reports for PAWS as needed, including budget variances, forecasts, and cash flow reports.
  • Works with bookkeeper and Development staff to ensure bequests, trusts, and pledges are accurately posted in both QuickBooks and Raiser’s Edge.
  • In Bookkeeper’s absence, prepares deposits, enters invoices, and prints checks, and any other time-sensitive tasks, or oversees temporary staffing hired to do these tasks.
  • Serves as in-house contact for IT needs to include copier/postage meter equipment and is a designated liaison for related 3rd party consultants and contractors when necessary.

 

  • Other Responsibilities include:
  • Collaborates with CFO in coordinating processes for receiving, recording, disbursements, deposits and reporting of cash received/paid by PAWS.
  • Completes reconciliations and billing spreadsheets for employee benefit monthly invoices. Completes monthly reconciliation/tracking spreadsheets for balance sheet accounts.
  • Improves and prepares workbooks and models for the annual budget and collaborates with the CFO and directors throughout the budget process.
  • Coordinates and resolves procedures and process issues between Finance and Development staff as needed.
  • Assists in preparation of all requested financial materials for annual audit. Serves as liaison between PAWS and auditors when needed.[1]
  • May perform and complete other duties and projects as required by the CFO.

 

 

Controls Over Work

The Finance Manager works under the general direction of the CFO and is expected to pursue the established duties without detailed supervision.

 

Written performance evaluations will be given after the first three months and first twelve months of work and annually thereafter.

 

Physical Requirements:

The work requires long periods of sitting at a desk while using a computer, calculator, and other office equipment.

 

Requirements:

  • A college degree in accounting preferred, with a minimum of 3 years of accounting experience.
  • The ability to juggle demands, prioritize, and follow through to timely completion.
  • A talent for planning, looking ahead, expecting the unexpected.
  • Willingness to consult openly and regularly with the CFO on matters relating to definition and accomplishment of tasks.
  • Desire for learning and mastery regarding presently required job skills as well as to enlarge the scope and professionalism of this position.
  • Good communication skills with both written and verbal,
  • experience with all relevant Microsoft Office and QuickBooks applications.
  • Must maintain a high level of confidentiality and have a tactful, mature, and sincere attitude.
  • Experience in nonprofit preferred.
  • Supervisory/management experience preferred.
  • Must be willing to work in a dog–friendly office.
