Full-Time Executive Assistant

Job Description

Summary:

The American Association of Physics Teachers is seeking an Executive Assistant who will be responsible for assisting the Executive Officer and the Senior Management Team (SMT) in the performance of their duties.  This position will also be responsible for most of the communication with the Board of Directors and arrangements for Board meetings such as the preparation of electronic meeting materials, travel arrangements for Board members, and attending two annual Association meetings.  The Executive Assistant is responsible for maintaining records of the Association’s committee memberships and for managing projects such as the Association’s awards, grants, and scholarships as well as a few ad hoc projects. The Executive Assistant will perform other duties as assigned.

*This role is currently 100% remote and will eventually switch back to our office environment as AAPT continues to respond to the coronavirus, government mandates and considers the best action to keep the AAPT staff safe.

Qualifications

The candidate must have an associate’s degree with a minimum of five years relevant work experience or a bachelor’s degree. The ideal candidate must have the ability to interact with and support a diverse staff and external constituents as well as the ability to work independently with little or no supervision.  The successful candidate must be well-organized, self-motivated, enterprising, detail-oriented, and remain flexible under pressure, with a high level of professionalism and confidentiality. Excellent written and verbal communication skills and strong decision-making ability are required.  The candidate must be able to manage projects, coordinate and work with committees, and prepare correspondence, presentations and other materials as required.  Knowledge of survey software and ability to do high-level analysis of survey results is desired.  In addition, the candidate should be comfortable learning and taking responsibility for projects such as the Association’s awards, grants, and scholarships program.  A proficiency in word processing, spreadsheet, and presentation software is necessary and a familiarity with iMIS Management Software or similar association management software and Adobe Professional is a plus.
