EAC Network, a leading not-for-profit social service agency dedicated to helping over 79,000 people through 100 impactful programs across Long Island and NYC, is looking for a dedicated full time Administrative Assistant to join the Brooklyn and Staten Island Community Re-Entry Assistance Network (CRAN).
Salary: $24.28/hour
Schedule: Monday- Friday: 9AM-5PM
Location: 175 Remsen Street 5th Floor in Brooklyn, NY
What drives the core purpose of this job
The Administrative Assistant provides administrative and operational support to the Program Director and CRAN staff. The position supports daily program operations, referral and intake tracking, data entry, record maintenance, scheduling, and general office functions..
What are the key Responsibilities:

Assist the Program Director, Supervisors, and Coordinators with the day-to-day administrative operation of CRAN and coordination of program activities.

Receive, track, and maintain information on CRAN referrals, admissions, pending cases, rejections, and case closures, and assist with client intake scheduling.

Assist program leadership with preparation of weekly and monthly reports, including referral, admission, case closure, client contact, service, and performance information required by CRAN and Correctional Health Services (CHS).

Maintain organized and secure electronic and physical program records, including on-site and off-site files, in accordance with confidentiality, records retention, and program requirements.

Assist with preparation for internal and external audits, chart reviews, and quality assurance activities, and maintain required audit logs and tracking records.

Answer, screen, and direct telephone calls, emails, referrals, and other inquiries and provide general receptionist and administrative support for the program office.

Provide administrative coordination with CHS, NYC Department of Correction, courts, treatment providers, community agencies, and other program partners as directed.

Maintain office supplies and program materials and track MetroCards, client phones, transportation resources, and other program support items as assigned.

Handle petty cash and MetroCard disbursements and reconciliations in accordance with EAC Network procedures.

Prepare correspondence, forms, reports, meeting materials, and other documents; perform filing, scanning, copying, calendar management, and general office duties as needed.

Maintain the confidentiality of client and program information and comply with EAC Network, CHS, DOC, and applicable privacy and security requirements.

Perform all other relevant duties as determined by program supervision and EAC Network Administration.
What key knowledge, skills, and abilities are required to excel in this role:

High school diploma or educational equivalent required; degree preferred.

Minimum of one year of work experience in human services, behavioral health, substance use, reentry, or a related service program required.

Minimum of two years of relevant office or administrative experience required.

Strong oral and written communication skills and the ability to work cooperatively and professionally with clients, treatment providers, court personnel, government agencies, and community partners.

Proficiency with Microsoft Office applications, spreadsheets, email, calendars, and database or electronic case management systems necessary to perform work assignments.

Strong organizational, data entry, and attention-to-detail skills, including the ability to manage multiple assignments, deadlines, records, and reporting requirements.

Ability to maintain confidential and sensitive information and comply with applicable privacy and security.
