Virtual Educational Event Coordinator

EEG Store is a small family business passionate about promoting neurofeedback and other empowering technologies. We are the sole distributor of the renowned EEGer4 neurofeedback software and we provide education, technical support and neurofeedback equipment to therapists. We delight in finding new ways to support the wonderful community of clinicians with which we work and we are dedicated to improving global access to healing technologies. We experiment enthusiastically and collaborate constantly.

We are looking to hire a Virtual Educational Event Coordinator to maintain and support the growth of our virtual educational courses and conferences. This employee will be responsible for planning and executing a new conference we are putting on in Feb 2022 as well as managing our online educational webinars and courses. This individual will represent our company with integrity in the continuing education space for clinical therapists. Proven successful experience in a similar role is preferred but not required. The right candidate will be eager to learn about our industry and our company.

What you will do:

    • For upcoming conference: create detailed event plan with timelines and planning task deadlines. Schedule planning meetings and communicate with team for successful execution of event plan.
    • Determine staffing needs for conference, train staff to provide support to attendees and presenters.
    • Oversee registration process.
    • Write and distribute content for conference registration, promotional materials and emails for registrants.
    • Develop conference agenda and sessions schedule. Organize event scripting and logistics.
    • Maintain accurate and updated conference and webinar websites as well as client database.
    • Set up and host technical aspects of live webinars. Run tests to ensure functionality of tools and identify potential technical issues.
    • Educate presenters and attendees on how to use virtual conference platforms and tools, troubleshooting and resolving issues as needed.
    • Oversee attendee and presenter assistance and troubleshooting during conference.
    • Oversee post-conference tasks including uploading recordings, scheduling emails, reporting, timely sending of course assessments and CE certificates.
    • Provide time codes for video editor, organize course content for attendees.
    • Review virtual learning content to ensure compliance with copyright, licensing or other requirements.
    • Oversee compliance with APA, NBCC, and other continuing education organizations.
    • Evaluate course data and effectiveness to assess and inform decisions on our offerings.
    • Monitor technological developments for consideration in meeting our educational and outreach goals.
    • Work with other staff on education goals.
    • Keep CEO updated on progress, accomplishments and challenges.

    • Have an interest in emerging neuroscience, excited about helping to make this knowledge accessible to a broader audience.
    • Strong technical skills. Preferred experience with: virtual event planning, web design, Kajabi, Accredible, Notion, Mailchimp, Slack, Trello, Zoom, Dropbox, Zapier, Stripe, Authorize, CRM, HTML, marketing, UX, graphic design, Google products.

Openness to moving to Gainesville, FL is a plus since we are seeking a long-term fit.

Job Type: Full-time (40hrs/wk), Remote

Salary: $63k DOE
