The Role

The Special Events and Sales Senior Manager is a full-time, exempt position reporting to the Director of Special Events and Sales. This position is responsible for generating new sales leads and making outside sales calls, scheduling meetings, client tours, tracking calendar holds, contracts and creating invoices, and setting up event Profiles for the Special Events earned revenue facility rental function. In addition, the Special Events and Sales Senior Manager is responsible for the hiring, scheduling and training of the Evening Event Associates and coordinating the volunteers necessary for each specific event with the Volunteer Services Department. 

 

Key Responsibilities:

  • Meet or exceed annual performance and earned revenue objectives in Special Events facility rental use.
  • Contribute to and implement a strategic plan that expands The Tech’s customer base and generates leads.  Follow up with leads to generate sales.
  • In conjunction with the Events Sales Director develop unique event opportunities that will resonate with the current and future markets in order to increase revenue and sales.
  • Cultivate, manage and maintain strong and positive relationships with clients, staff and vendors, while evaluating performance of staff and vendors (caterers, florists, bartenders and other service providers) in meeting client needs.
  • Track sales activities, forecast sales revenue and present data to management and the Finance Department.
  • Track and follow-up on calendar holds, contracts and invoices by keeping the event hold calendar and Master Planning Calendar as updated as possible and the accounts receivable ledger current.
  • Perform site walks and production walks with potential and contracted clients and work cross-departmentally to promote A/V, IMAX and other event add-ons.
  • Recruit, train, manage and evaluate Event Associates to coordinate Special Events facility rentals, handle client needs at the events themselves and ensure proper end-of-rental cleaning procedures.
  • Coordinate volunteers and staff to ensure proper event coverage.
  • Maintain all client files on Event Pro software for active and future bookings.
  • Create content for Marketing  materials and online promotions
  • Create, edit and communicate Event Profiles, which are The Tech’s detailed records of specific needs for each event.
  • Manage weekly event meetings with all other departments; communicate electronically any changes to Event Profiles.
  • Support signature events coordinated with the Department Director approval.
  • Staff evening rental events as necessary.
  • Represent The Tech in the professional industry.
  • Handle the coordination of events and other duties in the absence of the Director.
  • Work as part of the “Manager On Duty ” program once per month.

 

Qualifications:

  •  Three to five years of sales experience and marketing to achieve annual revenue targets.
  •  Proven ability to work in direct client sales—pitching, servicing and following through in working with clients.
  • Ability to professionally represent The Tech to clients, partners, internal departments and industry peers.
  • Must be a self-starter, flexible and able to work with a wide range of individuals, both internally and with vendors and partners externally. 
  • Ability to make independent decisions and to represent The Tech in negotiating facility use, pricing and requirements.
  • Proven event planning and execution experience required with prior experience managing a team of event staff.
  • Ability to evaluate events and make recommendations and changes based on client and staff feedback.
  • Ability to multitask projects ,and people, meet deadlines and work with accounting software and paperwork.
  • Excellent computer skills with ability to learn new programs.
  • Experience with Event Pro software preferred
  • Punctual and ability to be reliable and work varied event schedules as dictated by bookings and staff schedules.
  • Proven ability to work independently as well as being able to function as a part of a close-knit, interdepartmental team.
  • Ability to adhere to The Tech’s grooming guidelines.
