Friends of Ruby is dedicated to the journey and well-being of LGBTQI2S youth through a unique combination of integrated and tailored services in mental health, social support, and housing. We are committed to creating welcoming and safer spaces uniquely designed to help build community, emotional well-being, and confidence.

We distinguish ourselves by delivering an integrated transitional housing model to support youth towards independent living, impactful counselling modalities and therapeutic groups, social activities and practical supports that address multiple aspects of a youth’s life (e.g., health, education, employment).

Our services and programs are informed by LGBTQI2S youth, grounded in evidence and research, and led and facilitated by LGBTQI2S individuals. Our staff reflects the diversity of the youth we serve and are skilled in supporting youth towards independence and well-being. Ultimately, we want to help create a Canada where all LGBTQI2S youth are validated, included, and empowered to lead healthier lives.

Position Summary

The Volunteer Coordinator will manage all aspects of the organization’s volunteer program including the recruitment and selection process, training, supervision and offboarding of volunteers.

Duties and Responsibilities

Administrative Tasks

  • Maintain the database of volunteers and volunteer opportunities, records, files, applications, and other information concerning the volunteer program.
  • Assign opportunities to volunteers based on their skills, experience, availability, and preferences (goals and interests) to retain talented volunteers while meeting organization needs.
  • Create job descriptions for volunteer opportunities including abilities required for the positions, clearly outline accommodations and accessibilities that will be provided to meet volunteers’ needs.
  • Provide regular updates on the volunteer program to the leadership team and in quarterly all-staff meetings

Supervision of Volunteers

  • Track volunteers’ availability/hours, scheduled shifts, and tasks
  • Provide day-to-day supervision of volunteers, ensuring quality task performance as well as continuous learning and growth
  • Create an openly positive, healthy, and safe space while building good rapport with volunteers.
  • Mentor, coach, and motivate volunteers by helping them outline goals and learning outcomes from their assigned tasks and checking in with them regularly.
  • Clearly communicate the deliverables of tasks including instructions and timelines.
  • Provide and accept feedback through regular check-ins, pre-planned performance evaluations, annual performance reviews (for long-term volunteers), and exit interviews (for volunteers leaving).

Recruitment and Selection

  • Support with the People and Culture team for the following initiatives:
  • Screening, interviewing, selection of volunteers
  • Planning and scheduling the onboarding process for volunteers
  • Facilitating the orientation session and assigning relevant trainings.

Community Outreach

  • Communicate and collaborate with other departments to identify volunteer opportunities.
  • Network and build relationships with external organizations and agencies for potential future partnerships
  • Serve as the primary contact for volunteer applicants, external organizations/agencies, and volunteer events

Qualifications and Skills

  • Degree or diploma in business management, human resources, social work, non-profit administration/management, or related field and/or comparable experience
  • Strong leadership skills with the ability to coach, train, and motivate others
  • Attention to detail, organization, and planning skills
  • 2-3 years of volunteer experience (preferably in the non-profit sector) or similar experience
  • Effective communication and interpersonal skills
  • Proficient in Microsoft Office applications (especially Excel)

Additional Requirements 

  • Satisfactory clearance under the Police Background Check.
  • Must be qualified to legally work in Canada.
  • Willing to work at a flexible schedule to accommodate the needs of the organization, working evenings on occasions.
  • Ability to travel to other community-based settings as needed.
