Who we are
Friends of Ruby is a registered charity dedicated to the progressive well-being of LGBTQI2S youth through housing and social services. A trusted source of counselling and tangible solutions such as crisis intervention, warm meals and housing support. We offer multiple programs and support groups, including dedicated spaces for Black, Indigenous, People of Color, and Trans youth. Since 2014, Friends of Ruby’s front line workers have met with and supported over 900 youth, averting almost 500 mental health crises.

The opportunity
Friends of Ruby is preparing to open its Home in October 2020. The Home will provide transitional and emergency housing to 33+ LGBTQI2S youth, as well as, mental health and independent living support services.
To support this essential and exciting project, we are seeking a Project Coordinator to work with the leadership team in developing a project plan for housing readiness and support the delivery of the project on time, within budget, and in accordance with specifications.
You will review project documents and connect with stakeholders to define project requirements, milestones, and scope. You will liaise with other team members, report up to senior management, and work cross-functionally to ensure the effective delivery of this crucial housing project.
This is an incredibly fulfilling opportunity to take the reigns of a highly complex project and push it over the finish line. This is a short term contract running until January 2021, after which you will have a chance to move onto different projects pending funding and framework approval.
Who you are
You are an energetic, hands-on bridge builder (figuratively, but we’ll take literally as well), liaison, facilitator of all things, and extremely organized Project Coordinator. You may have a background in project liaison work in business, engineering or construction, or you may be coming from project coordination in the non-profit sector.
Either way, you have a history of successfully delivering complex work plans, identifying and closing gaps leading to finalizing completion, engaging the different internal and external teams, and ensuring milestones are completed on time and on budget. You thrive in an environment where you can bring calm and structure to the chaos, rapidly introducing processes and adapting to changing priorities. Above all else, you want to make a difference to the well-being of LGBTQI2S youth through your work.

How you will make a difference
- Connecting with the leadership and stakeholders. You will review project documents and create a comprehensive project Gantt chart for housing readiness with project requirements, milestones, and timelines. You will provide general status, analytical, reporting, financial, business and project control to the leadership team periodically until the completion of the project
- Coordinating all aspects of the project. You will organize and oversee the scheduling and organizing meetings, communications including minutes, reports, documents, emails, and updated work plans; identification of procurement needs and providers, and the creation and maintenance of databases.
- Tracking critical project data. You will maintain a record of the project progress, including decisions, delays, changes, and other relevant information for post-implementation analysis and review. You will reach out for approvals, decisions, resolutions to issues, and escalations to the leadership team or other project stakeholders.
What you bring to the team
- The education and experience. You have a post-secondary degree in Project Management, Business, Engineering, or similar field and 3-5 years of progressive project-related experience.
- The project management skills. You have a history of successfully planning and completing complex projects under tight deadlines. You have hands-on organizational and project planning skills. You can organize, interpret, and summarize data (e.g., documents such as policies, procedures, financial reports).
- The passion and compassion. You understand the barriers and challenges faced by LGBTQI2S youth, and you are driven by a desire to make a difference. Ideally, you have an understanding of social housing readiness, the housing sector, construction projects, or building management.
- The communication and relationship building. You have outstanding written and verbal skills and the ability to make connections with peers, leaders, and stakeholders. You can facilitate decision making, influence without authority, collaborate across teams and achieve results through effective negotiation and problem-solving.
- The administrative requirements. You have a satisfactory clearance under the Police Check Program. You are flexible to work from home and at our office in Downtown Toronto, and you can travel to other community-based settings as needed.
