Friends of Ruby
Friends of Ruby was founded by Egale Canada in 2014 to meet the needs of LGBTQI2S youth.It is currently an independent charity that provides comprehensive and progressive mental health and well-being supports to LGBTQI2S youth, aged 16-29.
Friends of Ruby operates a Youth Centre and will soon open the Friends of Ruby Home. The Centre provides access to barrier-free counselling and therapeutic groups, case management and a drop-in space with hot meals, community, and comprehensive programming. The Home will provide transitional and emergency housing, as well as mental health and wellness support services.
To date, the organization has supported more than 900 youth and prevented 470 mental health crises and visits to hospital emergency rooms, saving nearly $300,000 in health care costs.
Position Summary
The Project Coordinator will work with the leadership team to develop a project plan for housing readiness, supporting the delivery of the project on time, within budget, and in accordance to specifications.
To achieve these important goals, the Project Coordinator will review project documents and connect with stakeholders to define project requirements, milestones and scope, track all key milestones, hold appropriate meetings to track progress, follow up on the tasks managed by other team members, and to update on the project financials.
Efficient delivery of project deliverables, effective time and quality control, clear communication of expectations to stakeholders, and upward reporting to senior management are critical tasks that must be performed throughout the lifecycle.
Duties and Responsibilities
- Review project documents and connect with the leadership team and other relevant stakeholders to create comprehensive project Gantt chart (workplan) for housing readiness with project requirements, milestones and timelines.
- Coordinate all aspects of the project including scheduling and organizing meetings, taking notes and drafting documents, searching for and organizing information, creating and maintaining databases, drafting and following-up on work plans, monitoring program cycles and milestones, communicating with and updating the leadership team and other stakeholders as appropriate.
- Monitor and track critical project data (i.e. documents, workplan, e-mails, meeting minutes & notes) referring needed decisions/actions, unusual issues, questions or problems to the leadership team or other project stakeholders as appropriate and in a timely manner.
- Provide general status, analytical, reporting, financial, business and project control to the leadership team periodically until the completion of the project.
- Coordinate project activities within Friends of Ruby in support of directors to reach milestones in a timely manner.
- Identify suppliers and partners needed for specific programs and activities and ensure efficient and effective project delivery.
- Maintain a record of the project progress including decisions, delays, changes and other relevant information for post-implementation analysis and review.
Qualifications and Experience
- 3-5 years of progressive project-related experience and/or a degree in Project Management, Engineering or similar fields
- Demonstrated organizational and project management skills and comprehensive knowledge of the practices, procedures and principles of project management (e.g. Gantt charts and other tools, project lifecycle, risk management, etc.)
- Team player with the ability to lead, influence and achieve results through effective negotiation and problem solving
- Excellent written and verbal communication skills
- Strong ability to organize, interpret and summarize data (e.g. documents such as policies, procedures, financial reports) to facilitate decision making
- Has strong Office365 skills, particularly in Excel
- PMP certification or equivalent is considered a strong asset
- Understanding of social housing readiness, housing sector, and/or building management is considered a strong asset
Additional Requirements
- Satisfactory clearance under the Police Check Program
- Must be qualified to legally work in Canada
- Ability to both work from home and at our office located in Downtown Toronto
- Ability to travel to other community-based settings as needed
