Full-Time Operations and Technology Associate
Job Description
The Operations and Technology Associate is responsible for overseeing office administration and basic audio-visual and IT needs in Everytown for Gun Safety’s DC office location. Reporting to the Managing Director of Data and Operations in close coordination with the Senior Technology Director, the Operations and Technology Associate will manage audio-visual and IT needs for the DC staff, while overseeing basic office administration, including overseeing visitors management, managing the conference center, managing inventory and office vendors, coordinating with security on safety protocols, assisting with onboarding and offboarding staff, serving as a liaison to building management, and generally helping to promote a healthy and secure work environment.
Everytown seeks an energetic professional who can wear multiple hats, work independently, problem solve and is experienced in handling a wide range of administrative and basic IT/AV tasks to join our team.
Office & Facilities Responsibilities
- Manage relationships with vendors, service providers and building management in DC
- Source and negotiate contracts with new and re-newing office vendors and service providers in DC
- Point person for maintenance, mailing, shipping, supplies, equipment and bills in DC
- Oversee coordination of security trainings for the DC office with security team
- Help manage the conference center, including placing orders for catering and arranging for extra cleaning and furniture set up/breakdown as needed
- Provide general support to visitors, including ensuring visitors are cleared with the building security
- Monitor and maintain office supplies inventory and supply closets
- On-boarding and off-boarding new and exiting staff, including orientation and training of new staff members on IT, AV, and DC-specific security and operational procedures
- Keep office operations and procedures well documented and up-to-date
- Coordinate office staff activities to help ensure a fun and healthy work environment
Information Technology Responsibilities
- Onboarding DC staff on IT and office related components
- Provide basic IT support for DC staff, coordinating with the Director of Technology to address more complex issues
- Point person for AV for DC office staff and the DC office conference center
- Assist with other organizational IT support needs as requested
Other Operations Responsibilities
- Manage approvals of invoices and credit card reconciliation for the Operations Department, including reconciling expenses with approved budget
- Assist with other operational tasks as requested
Allocation of Time
50% DC Office Management and Operations Support
50% Information Technology/Audi-Visual Support
Requirements
- Expected to be in person in the DC office at least 3 days a week
- At least one year of experience with basic IT/AV support
- At least one year of experience with operational/administrative responsibilities
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient computer skills and knowledge of office software packages
- Knowledge of accounting, data and administrative management practices and procedures a plus
The salary range for this role is $70,000-$80,000 per year. Everytown offers a generous benefits package including PTO, 401K Match, Education Assistance and more.
