Full-Time Office Coordinator

Job Description

This is not your traditional office coordinator position. Our ideal candidate is someone who wants to gain company-wide experience, be involved in multiple integral pieces of the business, and provide support to every team in the company from sales, to engineering.

 

YOUR DAY TO DAY AT TA:

We’d be lying if we said that any two days would be exactly alike, but you can expect to consistently be responsible for the following in this role:

Office Coordination:

  • Greet guests entering the building and notify team members of their arrival
  • Maintain all daily office operations including opening/closing procedures
  • Coordinate re-occurring team events and celebrations such as 4x week team team lunches, birthdays, anniversaries
  • Help with day of logistics and planning for virtual and in-person team events and volunteer activities
  • Ownership of inventory stock and reordering or purchasing supplies, including grocery pick-ups
  • Negotiate contracts, warranties, pricing, etc. to ensure the best interests of the company
  • Be vigilant about maintaining a high level of cleanliness, functionality, and professionalism in all areas of the office
  • Check mail and coordinate any outgoing messages
  • Assisting with set up for new hire process and ensuring a positive candidate experience
  • Maintain budgets for all administrative expenses incurred

Team Support:

These responsibilities will shift and change over time, and will expose you to all function areas of the business. Some responsibilities you may help with are:

  • Assist Client Success and Sales teams with planning domestic and international travel arrangements
  • Rearrange calendar events for a busy exec member
  • Support marketing with outreach efforts, social media, or event set up
  • Work with our program delivery team in the quality control process of our campaigns
  • Help with project coordination across multiple business units
  • Research new ideas or business opportunities
  • Ensure expense platform is up to date
  • Assist with occasional on-site events hosted by community partners

You are friendly, outgoing, and personable, but also happen to be a great negotiator, and are willing to have tough conversations when necessary. Your ideal day may seem chaotic to some, but you love the idea of juggling a multitude of projects and going above and beyond to check all the boxes.

  • Some professional, in-office experience required
  • You are just as comfortable being behind the scenes as you are being the face of the office
  • Ability to manage multiple concurrent tasks to meet deadlines
  • Proactive attitude – you’re able to see a need before you’re asked to address it
  • Superior attention to detail and organization
  • Willing to have tough conversations or negotiations to push a project forward
  • Strong ability to balance diligence with speed of execution
  • Excellent written and verbal communication
  • Be adaptable, flexible, and able to switch gears quickly
  • Results driven with a strong sense of urgency
  • Ability to maintain strict confidentiality
  • Efficient on the computer and ability to learn new technology quickly
  • Must have a valid driver’s license and vehicle
