Job Description

Thompson Coburn, a large full-service law firm with offices in seven (7) cities across the U.S., is looking for a Library Assistant to fill a full-time non-exempt position in its St. Louis office. Qualified applicants will have an Associates degree in Library Studies, Information Systems or a related field; Bachelor’s degree preferred. You will succeed in this position if you have exceptional attention to detail and organizational skills. Prior experience with library automation software and administrative experience is preferred. This position is eligible for a hybrid work schedule after an initial period of in-office training. The person selected for this position must be able to work in a fast-paced environment.

Job Responsibilities

  • Maintains Library’s print collection, including organizing, shelving, shifting and weeding collection to provide efficient access. Oversees outgoing and incoming circulation of Library print materials, identifies missing serials and subscriptions, claims missing issues from publisher and ensures that Library print resources are updated according to vendor instructions.
  • Opens, date stamps, logs, sorts and prioritizes incoming mail relevant to Library operations.
  • Using Library automation software, checks in and processes serials, distributes desk copies and routes current awareness materials.  Assists Acquisitions & Serials Manager in maintaining accurate serials, bibliographic, find patron and circulation databases.
  • Assists Electronic Resources Specialist with data entry projects and other assignments specific to management of electronic resources.  Maintains accurate and updated list of electronic resources in Library catalog.
  • Provides administrative and logistical support for Library reference and instructional programs and initiatives as directed.
  • Provides guidance on inquiries regarding the location of books, periodicals, and other material in the library collection.
  • Assists with Library front desk and telephone coverage as needed.
  • When required, provides coverage for other information specialists in department and collaborates on projects as assigned by Director.

Job Requirements

  • Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence.  Required to use tact and diplomacy when dealing with others.
  • Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone.
  • Must possess attention to detail, ability to balance multiple projects and have strong time management skills.
  • Proficient computer competencies with documents, spreadsheets and Adobe required. Experience using automated library systems preferred.
  • Must have ability to reason and apply common-sense understanding to situations encountered.
  • Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.
  • Ability to self-manage.
  • Ability to work overtime as needed.
  •  The physical demands of this position are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of the position.  These include being both mobile and stationary throughout the work day, and having the ability to engage in light to moderate physical effort, including climbing step stools, pushing loaded book carts, lifting books (weighing up to 30 pounds) and carrying various other materials (weighing up to 15 pounds).
