Full-Time IT Operations Co-ordinator
Job Description
We are seeking to recruit a technical team coordinator to work in our ITS Operations team at the European Bioinformatics Institute (EMBL-EBI) at the Wellcome Genome Campus near Cambridge in the UK.
You will be a key part of the leadership within the Operations team, one of 5 teams in the IT and Technical Services section, which provides the rich and varied computational infrastructure, services and expertise underpinning all the work of the Institute. The team is responsible for operations, maintenance, development, continuous improvement, and scaling of some of the most heavily used developmental and production resources underpinning the EMBL-EBI public-facing scientific services.
The team is responsible for several of the Institute’s core services, including authentication, authorisation and identity management services (AAI), server lifecycle management orchestration tooling, our core system and service monitoring solution and automation and scheduling service. In addition, the team looks after three key public-facing scientific services:
- The file replication (FIRE) archive is one of the key services underpinning the data-centric mission of EMBL-EBI. FIRE provides a software management layer abstracting data referencing from underlying physical storage, allowing persistent user-level addressing of data holdings even when the storage changes. FIRE also manages a secondary S3 tape replica. The FIRE system currently holds more than 100 petabytes of data, growing around 2 PB per month. The current roadmap aims to become partially compatible with AWS S3 to facilitate interoperability with other tools.
- Transfer services allow external users free access to several different stores of scientific data via a number of access mechanisms, allowing them to download this data to make use of it in their own studies and research.
- Job Dispatcher is a transparent and reliable bioinformatics sequence analysis system with programmatic and web interfaces. It offers external researchers access to EMBL-EBI data resources and sequence analysis services. Over 50 million jobs were submitted to Job Dispatcher in 2024.
Your role
The Team Coordinator role is a job title inherited from our scientific roots. In IT terms, you will be expected to take on a wide range of leadership responsibilities that the right candidate might recognise as part technical lead, part scrum master, part project manager, and part product owner.
You might have a background in providing core IT services to scientific or educational research institutions; you may have worked in the IT department of a small/medium enterprise; or you may have wider experience and be looking for a change that comes with breadth and responsibility! You will be comfortable being presented with a complex technical problem, figuring out the best approach and devising a plan to make it happen while keeping a firm eye on the long-term IT strategy and aiming to minimise the accumulation of technical debt.
The institute is on a journey to a maturing IT Service Management framework approach to running services, supported by ServiceNow, and in part uses an agile scrum approach to help deliver change.
Occasional travel within the UK and Europe may be required.
Your main duties include:
- Provide high-level technical leadership to the team.
- Ensure team adherence to the organisation’s ITSM practices.
- Run
- Ensure the team responds to monitoring/alerting
- Ensure the team is on top of their support requests
- Maintain active operational risk registers for all team services and devise risk mitigation strategies and plans
- Identify and drive continuous improvement in service delivery
- Look for opportunities to standardise and automate processes
- Run quarterly capacity planning for core services
- Complete regular service reporting
- Maintain
- Ensure that the estate is maintained with regular, timely patching and upgrades.
- Own and drive product roadmaps and strategy work for the team. Ensure strategies link up with other team strategies (e.g. Infrastructure) and are well documented and communicated.
- Ensure strategic deliveries that are too large to be delivered under BAU maintenance cycles get moved into the change portfolio for agreement and delivery.
- Ensure internal and user-facing documentation is kept up to date and well organised.
- Where appropriate, convene a regular user community meeting to gather service feedback and help inform roadmaps and strategy.
- Represent the Operations team both internally and externally at relevant technical and management meetings, working with vendors, collaborators, other ITS teams, as well as key stakeholders in EMBL-EBI Service teams and Research groups as required.
- Change
- Work with the Operations Team Leader to maintain a healthy, well-prioritised backlog.
- Run sprint planning, standup and sprint retrospective meetings.
- Produce sprint reporting.
- Take accountability for the on-time delivery of specific projects, ensuring quality (and cost control where appropriate).
- People
- Line manage members of your team, conducting regular 1-2-1’s, development plans, annual reviews etc.
- Mentor team members and identify opportunities for further training.
You have
- IT or related degree or equivalent experience.
- Experience leading a small technical team.
- Experience running a relevant full lifecycle service (run, maintain, change).
- Recent hands-on technical leadership experience, running services in a linux based server environment.
- Experience building product roadmaps.
- Experience liaising with hardware and software suppliers as part of the procurement process.
- Knowledge of automating build, test, and deployment processes to ensure seamless and rapid delivery of software and infrastructure.
- Recent, demonstrable experience using an agile methodology.
- Excellent verbal and written communication skills and a proven ability to manage stakeholders.
- People management experience.

Object Store (HGST/Quantum & Cleversafe)

Puppet

- Experience in migrations from NFSv3 to NFSv4.
- Experience merging solutions (e.g. email, AAI solutions) from different organisations.
