JOB FAMILY DESCRIPTION
Responsible for asset management, hardware, software, and services procurement, contract management and negotiation, financial management and analysis, as well as vendor management for IT hardware, software, and services contracts.
GENERAL DUTIES & RESPONSIBILITIES
* Maintains an Enterprise IT Asset Management solution to ensure purpose and functionality closely aligns with business procedures, directions, and strategies.
* Coordinates all activities associated with entire life cycle of hardware and software assets and, in some cases, services. – generate procurement requisitions for end user IT hardware.
* Request quotes for end user hardware requests when necessary.
* Track requisition approvals through the procurement process.
* Provide support to end users when placing or approving end user IT hardware requests.
* Works with business partners to understand hardware and software necessary for each request and places orders in response to service or material requirements.
* Administers and controls expenses within approved budgetary guidelines.
* Ensures financial goals and objectives are achieved within area of responsibility.
* Provide metrics and track KPIs regarding equipment flow, deployment and receiving processes
* Works to reduce overall budget expense by managing processes effectively and works with Finance to effectively manage equipment reporting and reconciliation.
* Develops and maintains Black Knight workstation equipment standards and controls.
* Manages and maintains equipment classified as “Legal Hold” and manages general equipment disposal and function as the point of contact for disposal vendors.
* Lead projects and partner with outside groups, such as EHD and EUITSS, to standardize equipment flow, inventory and storage processes.
* Performs financial analysis for acquisition cost-effectiveness and inventory control processes.
* Oversees development and maintenance of tracking systems for hardware and software acquisition, including related services.
* Draws up budgetary requirements and oversees forecasting.
* May review and monitor IT contract performance and compliance and ensure contracts meet company requirements.
* May negotiate software licensing agreements, as well as planning for major hardware and software upgrades and changes.
* This role requires the ability to lift up to 50 pounds.

EDUCATIONAL GUIDELINES
* Bachelor’s degree in Business Administration or the equivalent combination of education, training, or work experience.
GENERAL KNOWLEDGE, SKILLS & ABILITIES
* Communicates ideas both verbally and in written form in a clear, concise, and professional manner appropriate to audience including executive levels
* Knowledge of contract negotiation, financial management, and vendor relationship experience
* Ability to understand and apply concepts
* Ability to analyze and solve problems using learned techniques and tools
* Possesses solid project management skills of small and large projects in a cross-functional environment
* Knows and understands business needs and has the ability to adapt changing technology to business needs
* Requires a working knowledge of procurement and principles
* Ability to interact with internal clients and vendors at various levels regarding contractual agreements
* Skilled use of Microsoft Office package and related software applications is required
* Thorough understanding of the IT industry as well as demonstrated ability to understand and communicate technical information
* Team skills, including the ability to establish and maintain effective working relationships both internally as well as externally
IT Asset Specialist II
Intermediate professional role requiring high skill with extensive proficiency. Works independently with only administrative supervision and the ability to overcome major obstacles and recognize early when issues should be escalated or a senior peer needs to be consulted. Wide latitude for independent judgment and is expected to provide guidance and cross training to others. Effectively communicates with all levels of technical and non-technical personnel. Ability to negotiate complex processes and issues with others. Contributes to the development, documentation and implementation of standards or guidelines. Typically requires a minimum of four (4) years of relevant experience in asset management and procurement (or other relevant technical) experience.
