Job Description:  Human Resource/Finance Support Specialist

SALARY LEVEL:  20                                                                                                              DATE:  January 2021

SUMMARY:  Responsible for the administrative support of day-to-day human resources and finance operations.  Duties have varying due dates and must be accomplished in a timely manner.  Must be able to multi-task.  Must maintain a well-organized and professional office environment.  Employee must have the ability to take initiative, work independently, know when to ask for direction, and must exercise discretion in handling confidential information.  Also provides a wide variety of clerical tasks.

ESSENTIAL DUTIES & RESPONSIBILITIES:  include the following.

Supports and upholds Couleecap’s mission to fight poverty and promote self-sufficiency for individuals by helping to identify needs, mobilize resources, and provide quality services.

Assists in maintaining agency personnel systems in the following areas:  personnel files, employee lists, staffing chart, status changes, terminations, evaluations, annual increases, COLA increases, etc.

Assists with hiring system by posting positions, preparing ranking forms, processing applicant materials, upload necessary documents to SharePoint, scheduling interviews.

Assists with employee orientations.

Assists Finance department staff with clerical needs including computer input, typing, filing, proofreading, etc.

Maintains files and record systems and follows up with staff on missing/incomplete information.  Inputs data into computerized accounting system and payroll system.

Maintains permanent financial statement records file.

Assists with monthly and semi-annual weatherization inventory.

Attends meetings and training sessions as requested.  Shares knowledge gained through research and trainings with the agency.

Other duties as assigned.

EDUCATION EXPERIENCE:  Requires academic education beyond high school sufficient to qualify for registration in a professional occupation (usually three years beyond high school); or three to four years’ previous experience; or equivalent combination of education and experience.

LANGUAGE SKILLSs:  Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, other staff, and the general public.

MATHMATICAL SKILLS:  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS:  Access to reliable, licensed, insured driver and transportation.

OTHER SKILLS and ABILITIES:  Ability to operate a variety of office equipment:  computer, scanner, copier, FAX machine, printer.  Experience with Microsoft Word and Excel.  Tact and courtesy, initiative, resourcefulness, good judgment, and reliability. Excellent oral and written communication skills.  Ability to establish effective working relationships with staff and other professionals.  Ability to keep accurate records and make reports.  Strong ability to maintain confidentiality.
