Job Description

Friends of Ruby is a charity dedicated to the progressive well-being of LGBTQI2S youth, aged 16-29 through mental health services, social services, and housing.

Friends of Ruby operates a Youth Centre and a Transitional Home. The Centre provides access to barrier free counselling and therapeutic groups, case management and a drop-in space with hot meals, community, and a comprehensive programming. The Home provides transitional and emergency housing, as well as mental health and life-skills to support youth moving towards independent living.

Position Summary

As a Finance Assistant for a nonprofit organization, you have a strong focus on daily financial tasks and transactions, month-end closing, bills collections and payments. Reporting to the Finance Manager, you will support the department to ensure financial statements, accounting, bookkeeping, payroll and audit requests are met accordingly.

The Finance Assistant will ensure the right archiving for all contracts, files, quotations and bills, and support the Finance Manager in developing forecasts and financial plans on monthly and yearly basis.

The responsibilities of this position include, but are not limited to:  

  • Reconcile and manage the month-end closing process;
  • Assist the Finance Manager in preparation of all budgets and forecasts; help to maintain compliance to budget guidelines;
  • Support the Finance Manager in managing the accounting, bookkeeping and bi-weekly payroll;
  • Review transactions to ensure appropriate back-up documentation is attached and appropriate approval processes are followed at all times;
  • Track rejected transactions, follow up on problems and resolve errors;
  • Work along the Finance Manager to ensure bank requests, letter of directions and deposits are always done correctly;
  • Handle vendors communication for billing and accounts set-up;
  • Assist in ensuring the accuracy, completeness and timely completion of the monthly financial statements;
  • Special projects, duties & ad hoc reporting as required;
  • Record cash receipts, expenditures and rents collection;
  • Maintain historical integrity of information for audits and statistics;
  • Organize and maintain filing/archiving system and ensure compliance with governing regulations;
  • Lead month-end process by working closely with the accounting firm to ensure actual results are supported and captured correctly;
  • Support Finance Manager in identifying and explaining any variances to monthly forecast;
  • Assist Finance Manager in preparing and delivering reports to Board Finance Committee;
  • Collect and pay bills through Telpay after approval from Finance Manager and ED;
  • Work closely with Finance Manager during audit period and prepare required documentation;
  • Stay up to date in Labour laws, knowledge of current provincial legislation including employment and payroll standards.

Qualifications and Experiences

  • Bachelor’s Degree in Accounting, Finance or Business Administration, Economic or related working experience
  • +1 year of directly related work experience in accounting or finance
  • Ability to develop and review accurate data information to help analyze numbers, strong analytical and data gathering skills
  • Strong knowledge of Office 365, proficiency in Excel and fluency with excel formulas and functions, and knowledge with data/query management tools
  • Understanding of Fund Accounting principles
  • Knowledge of Quickbooks an asset (preferred, not required)
  • Strong aptitude to learn, a collaborative mindset, and relationship building skills
  • Understanding of or experience in nonprofit sector (preferred, not required)
  • Excellent communication and writing skills, and experience completing documentation and reports properly and in a timely manner;
  • Bring an understanding of anti-racist and anti-oppression frameworks;
  • Be able to work independently and as part of a team, multitask and remain calm in situations that involve multiple demands, being able to shift priorities with ease and resiliency;

Additional requirements

  • Satisfactory clearance under the Vulnerable Sector Police Check Program
  • Must be qualified to legally work in Canada
  • Willing to work at a flexible schedule to accommodate the needs of the organization, working evenings and weekends on occasions
  • Ability to work from home and from our two Toronto Downton offices
