Job Description
REPORTS TO: Vice President and General Manager, Presentations and Events
STATUS: Full-time, exempt
Lyric Opera of Chicago exists to provide a broad, deep and relevant cultural service to the Chicago region and the nation, and to advance the development of the art form of opera.
We are searching for a Facilities Coordinator to be responsible for assisting tasks within the Facilities Department. This includes working with Front of House, Stage Door, Dining Spaces, Concessions, Administrative positions, and Engineers for the building.
Lyric Opera of Chicago’s Facilities Coordinator position serves as primary service contact liaison for the department as well as provides support to the Vice President and assist other team members within the department.
DUTIES AND RESPONSIBILITIES:
•Demonstrate leadership in accordance with Lyric’s mission and vision.
•Process payroll for the following employees: dining space, concessions, coat check, box office, and engineer staff.
•Process weekly accounts payables for department.
•Conduct physical concessions inventory on a monthly basis. Prepare monthly inventory v. sales reports to forward to the business office based on monthly inventory actual totals.
•Verify box office produced sales, dining space sales, and concession totals.
•Order office supplies as needed.
•Provide technical and administrative support for dining spaces. This includes: periodic system updates to the POS system (MICROS), menu updates in the POS system as well as formatting and printing the menus, and daily receipts verification and weekly invoice verification with catering provider.
•Manage operation and maintenance of CCURE, Security Key Card system.
•Using tickets-based program, Tessitura, to manage dining space reservations.
•Offer excellent customer service and handling of complaints to Front of House or Dining Space related issues.
•Issue custodial charge outs to Lyric departments on a regular basis.
•Arrange and supervise porters for furniture/equipment moves. Interact with janitorial service and building engineers regarding cleaning and repairing requirements and resolution of issues related to service quality.
•Provide area garages, taxi companies, and restaurants with season and special events schedule.
•Assist in interfacing with limited outside contractors as needed including pest control.
•Develop and administer access policies for Lyric facilities. This includes key management, key-card access control, and the stage door guest management system.
•As the business evolves, so may this role. These duties may change as Lyric’s leadership identifies the need at any time.
KNOWLEDGE AND SKILLS:
•Bachelor’s Degree from an accredited college or university or equivalent experience.
•More than two years of experience.
•Working knowledge of and comfort working with:
– Microsoft suite of products
– CRM expertise (Tessitura)
– POS (REVEL)
•Outstanding communication skills with the ability to multitask different issues.
•Analyze sales data.
•Creative thinking skills.
•Inspecting equipment and identifying problems.
•Reviewing cost and sales performance.
•Ability to work and think independently, a motivated self-starter who also works well in a larger team.
WORK CONDITIONS:
•Ability to occasionally oversee evening or weekend functions, deployments or performances.
•Able to lift 50 pounds.
•Ability to operate a computer keyboard, mouse, and to handle other office equipment.
•Focus in open environment while surrounded by multiple conversations and distractions.
•Field inbound calls from employees and prioritizing them between daily tasks.
