Our services and programs are informed by LGBTQI2S youth, grounded in evidence and research, and led and facilitated by LGBTQI2S individuals. Our staff reflects the diversity of the youth we serve and are skilled in supporting youth towards independence and well-being. Ultimately, we want to help create a Canada where all LGBTQI2S youth are validated, included, and empowered to lead healthier lives.

Position Summary

We are looking for a member of the LGBTQI2S community to be our next Drop In Supervisor and support the Organization’s efforts towards providing progressive support to LGBTQI2S youth.

Under the direction of the Youth Services & Housing Director, the Supervisor is responsible for the coordination of support services to youth and the supervision of programming staff. They will act as a key point of contact for the direct service team, community partners and the youth.

Applicants are required to work in person with youth and staff and be available to work at a flexible schedule to accommodate the needs of the Drop In, including working some evenings and the occasional weekend.

The selected candidate must have strong experience with programming, crisis management, good communication skills and computer skills, supervisory experience, as well as proven experience in supporting LGBTQI2S youth.

The Drop In Supervisor will coordinate staff and activities in the Drop In, interact and facilitate respectful communication among the participants, respond to escalating situations when needed, ensure covid-19 protocols are in place and being followed, and ensure the supportive drop-in space runs in a safe and organized way.

The responsibilities include ensuring scheduling requirements are consistently met, assigning required work and applying resources to accomplish that work, liaising with partner organizations and program development, managing and enhancing service delivery, supervision, quality improvement, and ensuring the accurate documenting of statistical data related to program areas.

Duties and Responsibilities

Supervision of Staff

  • Coordinate the scheduling of programming staff, ensuring an even distribution of hours between staff, relief, students and volunteers in accordance with their training level and full/part time or relief status;
  • Manage time off and attendance, track availability, scheduled shifts; enter staff payroll data, and submit hours worked to Finance Department;
  • Day-to-day supervision of assigned staff, ensuring effective teamwork, high standards of work quality and organizational performance, customer service excellence, and continuous learning;
  • Performance management, evaluation and mentoring of assigned staff; corrective coaching and/or disciplinary actions following organizational practices when needed;
  • Supervise, coach and mentor employees, establish clear goal setting with employees and outline expected outcomes and time frames; Assign tasks, responsibilities, clear deliverables, timelines and ensure employee’s take accountability for their work;
  • Foster a positive, healthy and safe work environment;
  • Oversee the deliverables of your assigned teams, providing regular support and check ins with staff;
  • Run regular team meeting and participate in all staff meetings providing department updates and program-specific matters and coordinates staff participation in meetings;
  • Support the Director and HR with recruitment, orientation and training of staff; and in determining appropriate staffing requirements for programs and services;
  • Coordinate volunteers’ events, including outreach and appreciation;
  • Volunteer recruitment, on-boarding, orientation, training and assign tasks;

Program Development

  • Coordinate, monitor and assess day to day activities at the Drop in Centre, overseeing the delivery and logistics of programs;
  • Attend Community Partner information sessions and external meetings (such as TDIN) and share takeaways with the team to ensure up-to-date best practices for drop-in service implementation;
  • Work with front-line team, strategic initiatives team and partners on coordinating logistics, onsite management and evaluation of special events and promotional activities;
  • Drop-in support may be required occasionally and back up for providing information and navigation, making referrals to support young adult and families in accessing internal and external resources as needed;
  • Build and coordinate the relationship with partner agencies for program activities;
  • Oversee the delivery and implementation of services and activities in the Drop In, evaluate the deliverables and outcomes of the programs and report to Leadership with recommendations;
  • Coordinate with the Housing Manager, Case Manager and Clinical Manager for programming for participants across all services;
  • May have to work weekends (on occasion) and be on a crisis line rotation.

Administrative tasks

  • Ensure the facility and services adequately meet the physical, social and development needs of all participants and that there is an adequate protection of each individual’s health, safety, comfort and well- being;
  • Manage your team’s budget and process invoices related to front line services;
  • Assists with operational research and reports upon request from the Management Team;
  • Contribute as needed to Friends of Ruby’s internal and external communications, including but not limited to newsletter and ad hoc data report that can be generated through the database;
  • Observe organizational policy and all current legislation and regulations;

  • Can work effectively with staff, participants, service providers, the general public, students and volunteers to address service inquiries, requests and/or complaints, apply verbal de-escalation and crisis prevention techniques in defusing potentially volatile situations.
  • Has 3+ years of demonstrated knowledge and experience in the social services sector, working with LGBTQI2S youth from marginalized communities, with strong ties and connections in the sector and a strong understanding of existing standards and trends; and experience supervising and coaching staff.
  • Has a college or university degree in a relevant field or discipline (public administration, social services) and/or comparable work experience.
  • Has excellent verbal and written communication skills, and facilitation skills.
  • Is a high performer that thrives in a fast pace environment and growing organization, takes initiative to make change happen, and can quickly adapt when needed.
  • Is excited by the prospect of and skilled at collaborating and harnessing the knowledge from different internal & external stakeholders (e.g., staff, community organizations and youth).
  • Has an understanding of relevant approaches: trauma-informed, harm -reduction, anti-racism, and anti-oppression.
  • Has strong organizational skills, time management, attention to detail, multi-tasking skills and ability to prioritize and work well under pressure.
  • Has excellent computer skills in a Microsoft Windows environment.
  • Has the ability to work as part of a team or work independently and under minimal supervision.
  • Has an excellent understanding of substance use, mental health, and harm reduction gained through direct experience working with individuals, preferably youth.

Additional requirements

  • Satisfactory clearance under the Vulnerable Sector Police Check Program.
  • Must be qualified to legally work in Canada.
  • Willing to work at a flexible schedule to accommodate the needs of the organization, working evenings and weekends on occasions.
  • Ability to travel to other community-based settings as needed.
