Full-Time Donor Relations Coordinator
Job Description
A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.
Position Title: Donor Relations Coordinator (40 hours/week) 2 Positions Available
Accountable to: Donor Relations Manager
Purpose of Position:
The Donor Relations Coordinator (DRC) is the primary position responsible for ensuring the accuracy of data in the donor database, entering daily donations, and producing timely gift acknowledgements. The DRC is responsible for managing key donor-related data and processes in support of the organization’s fundraising efforts. The ideal candidate will have experience with data management, high-volume data entry and multitasking in a fast-paced environment.
Essential Responsibilities:
Data Entry & Database Maintenance (70%)
- Data entry and gift processing of all incoming donations into the donor database (Raiser’s Edge) daily, ensuring all transactions are handled in compliance with established internal controls.
- Produce daily gift acknowledgment letters and tributes cards.
- Produce daily deposit of donations received, reconcile these gifts, and prepare bank deposits.
- Prepare deposit vouchers and reports for Finance.
- Update donor information per requests by donors and staff, as well as maintaining the health of our database by identifying duplicates to merge or purge when necessary.
Other Responsibilities:
Donor Relations Customer Service (20%)
- Regularly monitor the Donor Relations email inbox and phone line, corresponding and responding to donor inquiries in a timely manner.
Administrative (10%)
- Maintain specific SOPs for the processing of donations and continually evaluate for efficiency improvements.
- Provide backup to the Development Administrative Assistant for general tasks, such as picking up and sorting mail from the Post Office and duties related to our Kennel and Wildlife Sponsorship Programs.
- Perform clerical tasks such as filing, printing, stuffing, mailing letters, managing, and ordering of supplies, and other related tasks as assigned.
- Assist with special events, such as PAWSwalk and PAWS Wild Night, as needed.
- May perform other duties as required.
Controls over Work:
The Donor Relations Coordinator works under the general guidance of the Donor Relations Manager and is expected to pursue the established duties with little direct supervision.
Written performance evaluations will be given after the first 90 days and annually thereafter.
Physical Demands:
The work requires long periods of sitting at a desk using a computer, calculator, or other office equipment.
Requirements:
- High school graduate or equivalent preferred.
- Minimum one year experience with donor database software and tracking systems, or similar systems required. Experience in Raiser’s Edge strongly preferred.
- Must be detail oriented and able to enter data quickly and accurately, with a basic understanding of accounting. Data entry and ten-key experience required. High-volume data entry and customer service preferred.
- Excellent computer skills (Microsoft Office, Internet) required. Experience in Excel preferred.
- Excellent written and verbal communication skills and be able to represent the mission, goals, and the policies of PAWS in a creative and energetic manner.
- Have or be able to obtain a valid Washington driver’s license with no major or repeated minor traffic offenses and auto-insurance with required coverage limits.
- Must have a reliable vehicle to perform mail runs as needed.
