Job Description

The American Civil Liberties Union of Pennsylvania (ACLU-PA) is seeking a full-time Development Operations Specialist (DOS). The ACLU-PA is a nonprofit, nonpartisan public interest organization, dedicated to defending and enhancing personal freedoms protected by the Constitution and the Bill of Rights, through litigation, legislative advocacy, organizing, and community education. The DOS reports to the Director of Philanthropy and is charged with strengthening the overall operational infrastructure of the development team. This person will oversee database management, development administration, portfolio and grant management, and data analysis and reporting. This exempt position can be based in Philadelphia, Pittsburgh, or Harrisburg and presents an exciting opportunity for a professional who has the desire to strengthen a development program and has a deep passion for civil liberties work. Please note that the ACLU of PA operates under a hybrid work policy, with a target of two days in office a week.

 

 

DUTIES AND RESPONSIBILITIES INCLUDE:

Database Management

  • Act as the go-to person in charge of database effectiveness, including designing and implementing, in conjunction with the National Office, protocols and training staff.
  • Maintain database hygiene, integrity, accuracy, and protocols, protect donor confidentiality and enforce our privacy policy.
  • Create style and user guides to ensure clean and consistent data is captured in the customer relationship management (CRM) system.

 

Development Administration

  • Oversee gift processing, batch entry, donation coding, prepare backup gift documentation; and manage the Office Manager with ACH entry, acknowledgments, and database uploads.
  • Answer general development inquiries by phone and/or email.
  • Provide logistical support for events.
  • Work with the Finance Department on yearly reconciliation.

 

Portfolio and Grant Management

  • With the Director of Philanthropy, manage the major gift portfolio and portfolio pipeline in collaboration with out-the-door fundraisers to qualify and disqualify potential donors and develop processes that help ensure donor engagement.
  • Prepare strategy memos and materials for donor meetings.
  • Use insights from research to partner with staff to write, and submit creative and compelling proposals for grantmakers and individuals.
  • With the Director of Philanthropy, ensure timely management of grant reports and proposals to foundations and other major funders.
  • Oversee research of portfolio donors and foundation prospects.

 

Data Analysis and Reporting

  • In collaboration with the Director of Philanthropy and Assistant Director of Philanthropy, create timely, useful internal reports that help evaluate the program and the success of our efforts with donors and prospects so we can best prioritize and maximize our work.
  • Develop and maintain queries/exports for direct appeals, email campaigns, publications, events, ad hoc projects, and requests from other departments.
  • Based on data analysis and reporting, advise the development and communications departments on trends, challenges, and opportunities for new and continued engagement of ACLU donors and constituents.
  • Coordinate with the policy and advocacy teams to identify donors primed to lend time or energy to local, state, and federal work—in order to move strategic priorities and increase donor engagement.

 

The Development Operations Specialist must take initiative, problem-solve, multi-task, work independently, and liaise with others on donor strategies as a part of a team in a collaborative environment. This position must have strong interpersonal and communications skills and a high level of professionalism, as well as the ability to communicate effectively and respectfully with donors, board members, volunteers, staff, and the public. The DOS must demonstrate commitment to the ACLU-PA’s mission and core priorities, including criminal legal reform, voting rights, First Amendment rights, immigrants’ rights, LGBQ&T equality, privacy and security, and racial justice, and experience centering those directly impacted by these issues.

REQUIREMENTS

  • Experience in database work and database management—experience with Salesforce CRM preferred.

DESIRED QUALIFICATIONS

  • Demonstrated non-profit development experience is preferred, but other, transferable experiences will be considered. Direct work in development operations management is ideal.
  • Excellent computer skills, including proficiency with Microsoft Office technology and G-Suite products.
  • Strong interpersonal skills and enthusiasm for building strong professional relationships with donors, board members, volunteers, staff, and the general public.
  • Highly self-motivated, organized, and adaptable.
  • Knowledge of the Pennsylvania philanthropic community is a plus.

 

COMPENSATION AND BENEFITS

The ACLU-PA offers a generous and comprehensive compensation and benefits package, commensurate with experience and competitive with public interest salaries. The annual salary for the position is $61,500. Benefits include 11 paid holidays along with generous vacation and sick leave; individual/family employer-provided health insurance; life insurance and long-term disability; and a defined contribution plan with employer match. This position is full-time, salaried, and exempt from overtime under the Fair Labor Standards Act.
