APLA Health’s mission is to achieve health care equity and promote well-being for the LGBT and other underserved communities and people living with and affected by HIV. We are a nonprofit, federally qualified health center serving more than 14,000 people annually. We provide 20 different services from 15 locations throughout Los Angeles County, including: medical, dental, and behavioral health care; PrEP counseling and management; health education and HIV prevention; and STD screening and treatment. This position will pay $26.20 – $29.93 hourly. Salary is commensurate with experience.
POSITION SUMMARY:
Under the direction of the Senior Advancement Services Manager, Advancement Coordinator will provide administrative, analytical, and logistical support to all aspects of the APLA Advancement Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Process donations and maintain donor database (DonorPerfect) and other Advancement software tools (including Engaging Networks, Rallybound, Eventbrite, and others).
- Determine proper designation for unspecified gifts by cross-referencing with accompanying documentation, donor and company histories, and direct mail, online, major gift, and/or event mailing/invitation lists. Track solicitations when applicable. Assign soft credits and link profiles as needed.
- Process gift receipts and acknowledgements. Send weekly reports to direct mail vendor for standard acknowledgments, write personalized acknowledgement of honor and memorial tribute gifts, prepare major gift acknowledgements for the CEO or other leadership staff signature, and manage the annual Thank-a-Thon.
- Serve as liaison with Finance Department regarding gift reconciliation, creation of new general ledger codes, wire transfers, stock sales, and other special Advancement donation issues.
- Provide support and documentation for special donations (e.g. in-kind gifts, auto program donations, stock gifts, etc.)
- Manage administrative tasks and logistics to support the Advancement Department’s interaction with its vendors. Prepare Advancement administration check requests and maintain payment records.
Infrastructure and Reporting
- Download transaction reports from online fundraising services (e.g. Rallybound, Engaging Networks) at the beginning of each month. Clean up user-entered data, research and code gifts, and import with minimal duplicates to DonorPerfect.
- Generate donor and revenue reports and provide analysis for board reports, budgeting, analytics, and donor recognition.
- Devise and execute data integrity and database maintenance projects (e.g. coding updates, record de-duplication, change of address updates).
- Manage Heartbeat Monthly Giving Circle program by preparing monthly reminder letters, following up on chargebacks and declined credit cards, and generating consolidated year-end acknowledgements.
- Maintain DonorPerfect security access. Provide database orientation for newly hired Advancement Department staff and others as needed.
- Compile donor lists for APLA Health annual report and donor walls. Verify giving levels, years of consecutive giving, and proper omission of anonymous donors.
- Update and maintain detailed planned giving database records for all estates and trusts as new beneficiary documentation and/or gifts come in.
AIDS Walk and Events
- Act as the data processing liaison with the AIDS Walk team. With the Senior Advancement Services Manager, create, populate, and maintain custom data fields in DonorPerfect and Rallybound to serve AIDS Walk needs in the areas of education, engagement, solicitation, and stewardship.
- Provide logistical support for special events, including but not limited to production of event invitations, review of sponsorship decks, and support with day-of execution.
Leadership Circle / Annual Fund
- Manage employee giving and matching gift programs including updating account credentials, certification of incoming gifts, providing agency documentation as requested, and distribution of funds to AIDS Walk and other programs as appropriate.
- Update Leadership Circle, Guardian Society, and Beneficence Society membership levels and standings in DonorPerfect, and generate Leadership Circle and major gift portfolio reports as needed.
General
- Act as APLA Health donor liaison by handling inquiries, managing collections, and responding to donation questions. Provide excellent customer service to constituents with questions, complaints, or suggestions.
- Provide administrative support to the Senior Advancement Services Manager and the Chief Advancement Officer.
- Supervise Advancement Department interns, volunteers, and/or temporary administrative staff as necessary.
- Other duties may be assigned to meet business needs.
OTHER DUTIES MAY BE ASSIGNED TO MEET BUSINESS NEEDS.
REQUIREMENTS:
High School diploma or GED equivalent required; Bachelor’s degree preferred. 2+ years administrative or office experience required. Strong written and organizational skills required. Professional, friendly demeanor, excellent phone skills, and proficiency in Word and Excel required. Nonprofit fundraising database experience is preferred. Must be able to handle the occasionally heavy time demands and importance of deadlines in working with annual giving/direct marketing projects, events, and the complexities of working with volunteers, staff, donors, and vendors in an often fast-paced environment.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
This is primarily an office position that requires only occasional bending, reaching, stooping, lifting and moving of office materials weighing 25 pounds or less. The position requires daily use of a personal computer and requires entering, viewing, and revising text and graphics on the computer terminal and on paper.
SPECIAL REQUIREMENTS:
Must possess a valid California driver’s license; proof of auto liability insurance; and have the use of a personal vehicle for work related purposes.
