Description:
The Clinic Director directs the daily administrative operations for the South Loop Physicians Group Clinic, including the direct management and supervision of professional and support staff in delivering quality and safe patient care. The clinic director develops and implements strategies and tactics to improve and strengthen the services to provide high-quality, safe, and cost-effective care. The South Loop Physicians Group Clinic is located at 2600 South Michigan Avenue, Chicago, Illinois 60616.
Duties & Responsibilities:
- Strategic Planning, Goal Setting and Communications: Determine, plan, and establish the strategic course to improve and strengthen the outpatient clinic’s healthcare business and services, thus improving the contribution margin to the Department of Medicine. Analyze changes in demographics, market competition, and social and economic factors in the organization’s environment to formulate the clinic’s vision and values statements. Study trends, innovative approaches, and new patient testing to apply new concepts to meet organizational strategic goals. Oversee provider scheduling process. Conduct clinic staff meetings and huddles. Responsible for regularly disseminating information to providers, staff, and where appropriate, to patients and guests.
- New Business Development: Review and provide input into modifying the clinic structure and its services to improve and expand operations and/or services. Present proposals to the Clinic Medical Director, Leadership of the Division of Academic Internal Medicine and Geriatrics, and Leadership of the Department of Medicine.
- Regulatory Compliance: Ensure policies and procedures are reviewed and updated regularly as required by University and external regulatory agencies. Monitor and ensure regulatory compliance with standards from Centers for Medicare and Medicaid Services (CMS), and other oversight bodies. Ensure staff completes their work assignments within the scope of practice for their discipline. Work collaboratively with Labor Relations Management staff and Department of Medicine HR to carry out the Collective Bargaining Agreements for the Civil Service union employees. Ensure all audits are performed as required. Work with the Clinic Medical Director to design and implement the Clinic’s quality improvement program, which includes initiatives and metrics that align with the Quality Improvement plan. Maintain facility standards under all accreditation and regulatory requirements.
- Financial / Budgetary Responsibility: Develop the annual budget for the clinic, establish growth plans, and prepare the requests for capital equipment in collaboration with the Clinic Medical Director, Director of Administrative Operations, and the Division Chief of the Division of Academic Internal Medicine and Geriatrics. Jointly responsible with the Clinical Medical Director for the Clinic’s profit and loss, budget variances, and visit volumes. Responsible for daily reconciliation of patient visits. Understand and utilize various management tools such as visit reconciliation, charge lag, Practice Profile, and other reports. Perform feasibility and financial studies to determine value-added analysis, breakeven analysis, revenue generation, and return on investment for all proposed new services or programs. Present information to the leadership of the division and department. Perform vendor evaluations to procure equipment, office supplies, and medical supplies for clinic operations. Responsible for the clinic’s biennial equipment inventory Perform annual review of charge master for the clinic. Space Planning/Emergency Management/Life Safety/Environment of Care (EOC) Oversee space planning in collaboration with the Clinic Medical Director. Annually review and update, as appropriate, the Clinic’s Disaster Plan in accordance with the Department and University’s master plan to ensure continuity of service in extreme situations. Participate in Disaster Plan drills and fire drills. Maintain accurate equipment and inventory logs.
- Service Excellence: Work with the Clinic Medical Director, Division Leadership, and Department Leadership to identify opportunities to improve customer service and patient experience by addressing timely patient access, patient throughput, and reductions in no-show rates. Utilize the patient satisfaction management tool, review satisfaction scores regularly with the Clinic Medical Director, identify and act on opportunities for improvement, and tracks progress Work closely with the Patient and Guest Services Department to ensure that patient compliments/complaints/grievances are addressed promptly and resolved in accordance with university policies.
- Staff Management: Interview, hire, orient, direct, lead, mentor, and evaluate the performance of clinical and non-clinical staff to meet division, departmental, and organizational needs, objectives, and customer service expectations. Verify that all staff working within the clinic, including non-hospital staff and observational students, have current licenses and certifications (CPR, etc.) and that staff is compliant with annual mandatory requirements. In collaboration with the Clinic Medical Director, establish a staffing plan for the clinic and adjust the plan according to changes in volume to maintain a high level of labor productivity, bargaining unit contracts, and customer-patient satisfaction.
- Perform other related duties and participate on committees, work groups, and/or special projects as assigned.
Qualifications:
Master’s Degree in Business Management, Health Care Administration or Public Health, and 3 years of experience in an outpatient care setting, including management experience in an academic environment.
OR
Bachelor’s degree and a total of 6 years management level experience (supervisory and financial) in healthcare. Working knowledge of health care in a physician office environment.
Solid knowledge of federal, state and Joint Commission clinical guidelines/standards and compliance for patient healthcare, safety and billing requirements and knowledge how to apply them in practice. Financial acumen in understanding, preparing and managing operational budgets. Intermediate skills using general office equipment, Microsoft suite of office products (e.g. Word, Excel, Outlook). Strong communication skills to interact with patients and develop effective working relations with patients, colleagues, other colleges, ambulatory, providers, regulatory bodies, consultants, and vendors. Ability to work with physicians in a collaborative manner. Must possess problem solving skill, excellent analytical skills to read, analyze, and interpret business trends. Knowledge of guidelines and standards for accreditation by various outside entities is required.
