Job Description Summary

The Patient Services Coordinator (PSC) is an administrative/non-clinical role in the primary care department and reports to the Patient Services Manager. This position is hourly, full-time, and on-site.

The Patient Services Coordinator is the first point of contact for patients receiving care from our providers, and is responsible for creating a welcome and supportive environment for them by using excellent communication and organizational skills to facilitate appointments. This position is for an individual with a passion for the trans and gender-diverse community, who is knowledgeable on health care services and can consult with patients to determine their needs.  A compassionate nature and exceptional customer service skills are essential attributes to this role.

Objectives & Responsibilities

  • Serve as the first touchpoint of the practice; enjoy creating a welcoming, calm, and supportive environment 
  • Check-in patients as they arrive gathering necessary information relevant for clinical or financial services in an efficient and friendly manner 
  • Check out patients as they leave setting up future appointments, collect co-pays, and communication referral needs to Patient Access Coordinator 
  • Provide patients with information, resources, and support as needed  
  • Registering new patients
  • Communicate effectively with patients, family members, administrative staff, and clinical staff to ensure the practice runs smoothly 
  • Maintain a high level of professionalism and customer service 
  • Effectively handle multiple incoming telephone lines, emails, and all other forms of technological communication with the ability to answer general questions, collect and record patient and marketing information 
  • Update patient information in the electronic medical record as appropriate 
  • Enroll patients in the electronic patient portal 
  • Maintain a well-organized appointment schedule 
  • Keep the front desk and waiting room areas organized 
  • Maintain and process insurance documentation as needed 
  • Scan and upload patient documentation as needed in patient record 
  • Help establish and execute procedures for: garnering copayments, clinical supply management, area maintenance, mail handling, and running routine reports 
  • Maintain an organized and clean working environment 
  • Other duties as assigned 

Qualifications & Experience

  • High school diploma or equivalent 
  • A minimum of 2 years in a fast-paced healthcare services environment (preferred)
  • Experience with transgender or gender-diverse community  
  • Experience with referrals preferred
