Full-Time Office Manager / Deputy Bookkeeper

Job Description

The Rosa-Luxemburg-Stiftung, Inc. is the U.S. affiliate of the Rosa-Luxemburg-Stiftung, an internationally operating, progressive non-profit institution for civic education funded by the German federal government. The Foundation’s New York Office opened in fall 2012. It serves two major functions: to work on issues concerning the United Nations, including collaboration with people and political representatives from the Global South, and to building transatlantic solidarity with U.S. and Canadian progressives in universities, unions, social movements, and progressive institutions.

We are now hiring for the following position:

Office Manager / Deputy Bookkeeper

Job Description:

  • Serve as main point of contact for building management, insurance, IT and other consultants
  • Keep inventory records of office supplies and equipment, order office supplies and equipment as needed
  • Receive and direct phone calls and emails, welcome visitors and guests
  • Organize events, including contracting caters, set up, break down, and clean up
  • Prepare and keep records of staff meetings, monitor staff meeting schedule
  • Keep records on working hours of staff
  • Establish and maintain office calendar
  • Make travel arrangements, take care of claims for travel expenses
  • Represent RLS at events, including tabling and preparing materials for external events
  • Assist financial manager and serve temporary replacement if financial manager is on leave
  • Manage recurring expenses (IT, Rent, Phone, Copier, etc.) and subscriptions
  • Keep proper record of project proposals submitted to the office, and properly file and catalogue project and financial documentation
  • Work with accounting software as IPAS and QuickBooks
  • Use Quickbooks to create and send necessary tax forms for vendors
  • Oversee all insurance policies and insurance renewals
  • Keep proper record of project proposals submitted to the office, and properly file and catalogue project and financial documentation
  • Other financial and office management tasks as needed

 

Qualifications:

  • Office management experience
  • Experience as bookkeeper and/or financial or budget administrator
  • Strong knowledge of Quickbooks
  • Excellent organizational and communication skills
  • Excellent computer skills, and a basic understanding of IT networks
  • Understanding of the foundation’s mission and goals
  • Willingness to acquaint oneself with special budget guidelines provided by the foundation’s donor in Germany
  • Willingness to travel abroad occasionally
  • Any language skill is a plus
