SUMMARY

Our Order Fulfillment Associate acts as the first point of contact and primarily responsible for the management of customer accounts. This include but not limited to order processing, on-time and in full delivery monitoring and providing exceptional customer service to our retail/distributor partners. This is a terrific role for someone with a customer focus, right attitude, energy, and enthusiasm.

Our Order Fulfillment Associate works in a fast-paced environment as a problem solver, quick thinker, and resourceful individual. The Order Fulfillment Associate must communicate professionally and take pride in making every customer and team interaction a memorable one.

 

DUTIES AND RESPONSIBILITIES

  • Manage order entry and maintenance in our ERP system (SYSPRO) and check validity of EDI orders.
  • Manage customer communication by effectively delivering information pertaining to out-of-stock product, minimum order policies, lead times and more.
  • Effectively communicate shipment delays and order issues with Sales team and customer key contacts.
  • Effectively deliver communications on service interruptions and product availability.
  • Monitor and troubleshoot EDI order transmission issues.
  • Support Sales team with item listing updates for customers.
  • Process sample order requests from Sales and Internal teams.
  • Assist in securing delivery appointments and due date extensions from customers.
  • Review customer scorecard and push for improvements on metrics within our control.
  • Assist in investigating order and shipment issues relating to over shipments, damages, or shortage claims.
  • Collaborate with Logistics and warehouse teams to ensure on time order pick-ups
  • Collaborate with warehouse team to ensure customer compliance or specific requirements are adhered to.
  • Work closely with Sales team, Demand planning and Production teams on upcoming new item launches, transitions and promotions.
  • Collaborate with Inventory team to ensure products are positioned where needed.
  • Troubleshoot order or inventory discrepancies and report findings to the internal and cross-functional teams
  • Collaborate with Accounts receivable team on pricing adjustments and pricing set up.
  • Facilitate in processing customer credit & returns
  • Assist in new customer account or customer new ship to location set up
  • Update and maintain SOPs for all processes and procedures.
  • Maintain a consistent, professional, and effective communication process with customers and internal teams.
  • Ensuring timely and effective responses to customer inquiries

 

EDUCATION AND EXPERIENCE

  • Some University or College, a degree in Business, Operations, Supply Chain, Sales is considered an asset
  • 2+ years’ experience in customer service or related role
  • Computer skills, including all Microsoft Applications, are essential. Strong working knowledge on an ERP system such as Syspro is an asset
  • A passion to deliver world class customer service
  • Familiarity with certain Vendor portal is an asset
  • Knowledge of North America geography is an asset

  • Highly organized with strong attention to detail managing multiple priorities
  • Demonstrated analytical, problem solving and decision-making abilities
  • High sense of urgency and the ability to prioritize under the pressure of tight deadlines
  • Excellent communication skills, both verbal and written
  • Strong interpersonal skills; able to work independently and as a part of a team
  • Ability to handle multiple projects in a fast-paced environment
  • Able to deal tactfully and efficiently with all inquiries
  • Adaptable, flexible, and able to work well under intense time pressure throughout the day
  • Desire to learn and “Can Do!” attitude.
  • Preference will be given to candidates with prior experience in retail or wholesale distribution setting
