Walter Scott is hiring a proactive and ambitious Senior Administrative Assistant. This Senior Administrative Assistant will focus on supporting the team with various administrative and office management tasks and minimal project support. Responsibilities include:
Provides administrative support for the Walter Scott Client Service team in a complex team environment.
Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.
Coordinates complex, senior-level internal/ external meetings and conference calls.
Responds and follows up on external meeting requests.
Handles a high volume of phones calls and interacts with high level business leaders in a professional and effective manner.
Coordinates a high volume of domestic and international travel arrangements and processes expense reports.
Organizes and ships literature to clients.
Prepares and distributes divisional correspondence, memos, letters, reports or other documents as requested.
Maintains understanding of firm policies and handles certain issues independently.
Manages monthly invoices and arranges for payment.
On-boards new hires, processes new employees, transfers, etc.
Responsible for participation in general administrative duties (copying, filing, faxing, archiving)
Ad-hoc project support; includes preparing reports, database management, PowerPoint presentations, and managing communication with key internal and external parties.
Ability to travel to Edinburgh on a minimal basis for training purposes
Qualifications
High school/secondary school or the equivalent combination of education and experience is required; bachelors’ degree preferred
5-7 years of total work experience preferred.
