ABOUT THE OPPORTUNITY
The Executive Assistant provides executive support to Internews’ C-suite executives, including administrative support, outreach, development, budgeting, reporting, and the daily operations of Internews.

LOGISTICS

Internews has US offices in Arcata, CA and Washington, DC which support a hybrid workforce with staff working remotely, fully in-office or partially remote (2-3 days per week in office/ 2-3 days remote). The Executive team is located in and around the DC metropolitan area. This position is based in the Washington, DC metro area, and is expected to work on a partially remote or fully in-office basis.

DAY-TO-DAY TASKS will include:

  • Track and draft responses for external correspondence, particularly cultivation of private funders, academic partners, and all informational inquiries;
  • Draft and prepare materials for external meetings of the President, Chief Operating Officer, and Chief Programs Officer;
  • Attend meetings, records minutes, and prepare and distributes notes;
  • Prepare memos, letters, briefing materials and reports;
  • Prepare tailored briefing materials for executives, as necessary;
  • Serve as a liaison and scheduler for C-suite executives, maintaining and tracking calendars and schedules;
  • Coordinate planning, agendas, logistics and set-up for conferences and high-level meetings;
  • Provide necessary administrative support, including travel logistics, expense reimbursements and payment requests;
  • Provide other clerical and administrative support as needed, including printing and/or filing documents, answering calls, etc.;
  • Manage documents and file system for Executives, Corporation, Board of Directors, and other groups as requested;
  • Create and track balances for department budget and submits requests as needed;
  • Coordinate special projects and conduct basic desk research as assigned;

QUALIFICATIONS WE’RE LOOKING FOR:

Required

  • Two or more years of experience in an administrative support capacity
  • Experience supporting and working closely with chief executive staff
  • Strong written and oral communication skills; strong copy-editing skills
  • Exceptional organization skills and attention to detail
  • Advanced Microsoft Office Suite skills and experience with scheduling programs, email, and internet
  • Diplomacy in communications with high-level executives, Board members, management team, customers, and staff at all levels
  • Ability to handle sensitive and confidential information with sound judgment, tact, and discretion
  • Ability to meet tight deadlines and work with minimal supervision
  • Ability to build strong working relationships across levels
  • Exceptional multi-tasking and follow-through skills

Preferred

  • Familiarity with media or development issues
  • Non-profit experience
  • Experience working with remote teams across multiple time zones a plus
