Full-Time Customer Service Specialist

Position Summary: The Customer Service Specialist will manage the ordering process to ensure the distributors receive the product necessary to support our joint selling efforts. This individual will work with the distributor purchasing teams to construct and process orders from order entry through invoicing.
Key Responsibilities
- Communicate with distributors and internal team members regarding order and inventory status
- Perform accurate and timely entry and processing of distributor orders
- Confirm ordering requirement compliance for all distributors and key retailers
- Complete paperwork for USDA when required to support export shipments to Canada distributors
- Perform all follow-up steps and documentation to ensure each order is shipped accurately
- Complete the invoicing process
- Work with distributors and key retailers along with Instinct Sales Management, Supply Chain, Distribution/Logistics Team to ensure timely and accurate delivery of orders
- Develop and foster relationships with both internal and external business partners to provide the most up-to-date information available to meet stock requirements and meet product launch goals.
Personal Attributes & Technical Expertise
- Strong attention to detail and ability to work independently and maintain a high level of accuracy
- Analytical mindset with the ability to recognize risk and solve problems quickly
- Excellent written and verbal communication skills
- Comfortable working at a high pace through changing environments and operating systems
- Ability to manage multiple priorities and have well-developed organizational skills
- Ability to follow-up and complete assigned tasks accurately and on time
- Strong customer service and relationship building orientation
- Open to learning new computer software and developing new processes
- Desire to work in a team environment
- Proficient Microsoft Office skills, including moderate Microsoft Excel skills
- Proficiency in ERP Systems preferred
- Basic understanding of the demand, manufacturing, and order fulfillment cycle in a packaged goods environment preferred
Experience
- 2+ years of customer service experience in an office environment required
- Experience working with international freight forwarders and completing USDA export documents preferred
- Associates degree preferred
