We are currently seeking a Wholesale Logistics Specialist to join our team. Our ideal candidate is not only a skill set fit but will also fit into our tight knit team of hardworking humans.
WHOLESALE LOGISTICS SPECIALIST
Primary Job Responsibilities:
- Reporting to the COO, the Wholesale Logistics Specialist provides concise information to clients, vendors, third-party warehouse, and wider wholesale team regarding purchase orders, shipping, documentation, vendor compliance and deliveries to ensure accurate, smooth, and on-time deliveries for key wholesale partners.
- You will be expected to receive and accurately enter purchase orders in a timely manner and operate ERP systems proficiently, implementing all vendor guidelines to ensure compliance and reduce chargeback exposure.
- You will manage external partner portals as needed including retrieval of POs, creation of packing lists, uploading of shipping documents and invoices.
- You will demonstrate a strong understanding of all EDI workflow and document types as you will manage and implement EDI compliance as needed for key wholesale partners.
- You will manage and track photo samples along with PP (pre-production) and TOP (top-of-production) samples as needed for key partners and providing actionable feedback to vendors where required.
- You will communicate with carriers to ensure prompt pick-up and delivery of shipments; this includes communicating handover deadlines and purchase order information to freight forwarders.
- You will demonstrate an understanding of HTS codes as you will handle customs documents and work with brokers for timely processing.
- You will meticulously manage, schedule and track inbound and outbound freight movement for goods both inside and outside the US and from multiple points of origin.
- You will review purchase orders, shipping documents and shipment contents prior to release from facilities both domestically and internationally.
- You will invoice wholesale customers in a timely manner and ensure all documents are accurate, including the preparation and transmission of POs, invoices and tracking or bills of lading to accounting and customer partners.
- You will track, trace, and update internal order status and invoicing through weekly reporting.
- You will perform delivery reconciliation and investigations into variances as needed, including reviewing packing lists, conducting checks and proactively resolving potential customs compliance issues
- You will provide ongoing partnership with COO and third-party warehouses to monitor, identify and implement improvements to efficiency and accuracy in day-to-day management of inventory as well as inbound and outbound shipments.
- You will take ownership of the day-to-day workflow plans and build partnerships with all key stakeholders and teams across the business, including factory partners, internal staff, third-party warehouse teams, and wholesale partners.
- You will be solution oriented and continually look for opportunities to evolve and elevate internal processes.
- You will interface with customers directly, ensuring that all the information provided is accurate and timely.
- This position requires a high level of organization and attention to detail, as the successful candidate will be managing multiple tasks and ensuring that all aspects of the purchase order process from receipt to fulfillment are both timely and accurate.
What you offer:
- Minimum of one year of experience logistics coordination for multi-door or majors, preferably in the apparel industry or related.
- Experience with transportation management systems is a plus.
- Advanced proficiency in Microsoft Office Suite is a must, especially pertaining to Excel.
- Strong analytical and organizational skills with the ability to manage multiple projects and meet deadlines.
- Exceptional communication skills both written and verbal.
