Job Description
JOB SUMMARY: The Office Administrative Intern is responsible for administrative duties like performing data entry, receiving phone calls, files management, assisting in preparation of various documents, and various other administrative duties specified by Director of Operations and Human Resources Manager. Excellent verbal and written communication skills and friendly customer service is a must. This position provides administrative support to all the General Administrative and Donor Care teams.
Each intern is supported by the Human Resources Manager, who manages the internship experience.
This is not a remote position.
RESPONSIBILITES:
- Professional note taking & meeting minutes
- Support with Board Governance – e.g. tracking attendance, organizing board member files, etc. (Attend board meeting)
- Building & vendor management: helping to find vendors and get quotes
- Teach them how to coordinate, set, & facilitate meetings
- SharePoint cleanup/organization
- Clean up existing SOP documents
- Manages all inventory and tracks usage of toy closet/storage with accurate monthly submissions to CFS
- Enters all donations in appropriate batches into the donor care database including but not limited to: daily mail, FE only, weekly in-kind, payroll and United Way
- Creates and prints all associated donation letters and facilitates appropriate signatures
- Helps maintain donor care database with accurate information, performing data cleanup as necessary
- Reviews and submits accurate and properly approved check requests to Centralized Financial Services (CFS) at Make-A-Wish America and tracks outstanding checks to assure they are cashed in a timely manner

- Proficient knowledge of Microsoft Office programs and general office equipment
- A high level of sensitivity when dealing with staff, donors, volunteers, wish families, and board members
- Must be adaptable, self-motivated, and able to work with minimal supervision in a fast-paced environment
