Overview
Longwood Collective, Inc. is seeking a talented and motivated Senior Operations Manager. Longwood Collective is a non-profit organization dedicated to enhancing Boston’s Longwood Medical and Academic area (LMA) for the benefit of those who live, work, or receive care in the LMA. The LMA is one of Boston’s busiest and most dynamic neighborhoods and an epicenter of innovation, culture, education, and healthcare.
The Senior Operations Manager will serve as the lead for districtwide operations for the Longwood Medical and Academic Area (LMA). This includes construction coordination, district wide asset management and implementation of programs such as beautification, placemaking, furniture, wayfinding and signage, banners and city services such as road repaving and tree planting. This role will supervise the Area Planning Field Assistant.

Key Responsibilities
- Serve as the representative/liaison with City, State and regional agencies, community groups, designers and contractors on construction coordination, city services, open space, and new initiatives such as green infrastructure, and inclusive design.
- Train and supervise the Area Planning Field Assistant in conducting regular surveys of roadway and sidewalk conditions and street light outages to report issues to appropriate agencies.
- Maintain a list of key contacts at member institutions, the City of Boston, Department of Conservation and Recreation, Town of Brookline, MassDOT and other public agencies.
- Maintain a list of key contacts at utilities and construction projects.
- Develop and sustain excellent working relationships with all contacts.
- Manage departmental activities related to construction coordination, city services, beautification, asset management and planning operations.
Construction Coordination
- Supervise the drafting and publishing of construction coordination/roadway advisory notices to alert stakeholders of construction and traffic impacts.
- Organize and facilitate meetings with stakeholders concerning LMA construction projects to assess their impact, minimize disruption, provide project updates, and coordinate work activities.
City Services
- Manage the City Services program which monitors, reports, and advocates for the maintenance and repairs of publicly owned streets, signage and other related infrastructure. Includes implementation of improvements in lieu of and in coordination with public agencies.
- Train and supervise the Area Planning Field Assistant in conducting field inspections.
- Monitor and evaluate City service delivery and advocate for necessary improvements.
- Oversee the thermoplastic road surface marking program and the emergency pothole repair program.
- Develop and execute city service scope of work, budgets and contracts and manage work being performed.
Asset Management
- Procure, implement, maintain and replace Longwood Collective’s assets including public benches, trash receptacles, signage, banners, planting pots, planting beds, hanging baskets, and placemaking assets such as tables, chairs, umbrellas, signs, ping pong tables, games cart, reading carts and other items connected with the Outside placemaking program.
- Provide property management services for road maintenance, repair, cleaning, and snow removal operations on Blackfan Circle.
- Oversee annual contract with vendor(s) for the district beautification program including hanging baskets, tree maintenance, planters, pedestrian island maintenance, and additional activities as assigned.
Budget and Other Duties
- Manage the Planning Operations budget. Serve as department liaison to the Accounting Department.
- Assist VP with the management of the departmental programming budget. Including budget expense tracking, forecasting, accruals, and long-term capital planning.
- Act as the department lead on the research, planning and implementation of future infrastructure initiatives in the LMA. Such as Smart City Initiatives, green infrastructure, and inclusive design.
- Prepare and submit departmental reports as needed.
- Provide support to the districtwide data collection and analysis program.
Supervisory Responsibilities
- Provide day-to-day supervision of work conducted by consulting engineers and contractors engaged in special projects.
- Recruit, select, train and supervise the Area Planning Field Assistant.
- Establish and communicate job expectations; monitor and appraise employee performance.
Desired Qualifications:
- Knowledge of municipal government operations and experience working with state, county, or local government preferred.
- Bachelor’s degree in urban planning, construction management, civil engineering, or related field.
- Minimum of 4 years of applicable professional experience. Previous experience with construction field work is preferred.
- Database management and design proficiency, mapping, or graphics software experience are desirable (e.g., CAD and GIS).
- Strong verbal and written communication. Mature interpersonal style: ability to communicate, maintain confidentiality and collaborate professionally with a diverse range of people.
- Strong customer service orientation with keen political awareness.
- Strong analytical, problem-solving and organizational skills.
- Ability to work both independently and as part of a team.
- Occasional travel may be required.
