Summary of Duties
This is an exciting opportunity to work with the dynamic results-oriented International Business development team at the Canadian Consulate General in New York. We are seeking to hire an exceptionally hard working, creative, collaborative and results-oriented, with strong problem solving, critical thinking and administrative skills, and above all a self-starter committed to client success and prosperity.
Summary of duties:
- Track budget resources, process claims/invoices/payments of vendors and maintain appropriate records and knowledge of policies.
- Prepare contract forms for approval and track contracts with external service providers for completeness on behalf of the team.
- Input data into CRM system(s) and generate reports on a biweekly basis.
- Undertake research to prepare responses to enquiries from the public on a broad range of trade, innovation and investment-related subjects.
- Lead on and update the team’s information management system(s) (e.g Salesforce, Sharepoint, etc.).
- Research content to contribute to the Consulate’s LinkedIn and Twitter accounts.
- Provide event planning support for curated initiatives and VIP visitor programs.
- Provide outstanding administrative and organizational support to the team while reporting to the three Program Managers.
- Work collaboratively with other administrative support staff in the program to ensure coverage.
Area of Selection
Open to applicants who are legal residents or citizens of the United States who are:
- living in the New York Tri-State area;
- employees of a Canadian Mission in the United States; and
- spouses and dependents of Canada-based staff at the Consulate General of Canada in New York and Permanent Mission of Canada to the United Nations;

Essential Qualifications
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.
Education
- Degree from an accredited college or university; or equivalent combination of education and experience.
Language
Fluency in English (oral and written)
Experience
- One year of recent* experience in an administrative support role in a professional office environment.
- Recent experience tracking budget resources, and processing claims/invoices/payments.
- Recent experience in supporting event planning, projects, initiatives, activities and VIP visitor programs.
- Recent experience in drafting responses to public inquiries, including conducting research and writing correspondence.
- Advanced use of Microsoft Office and CRM systems (e.g Salesforce, Sharepoint, etc.).
*Recent as defined in the last 7 years.

The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral in-person, remote or recorded interview, a role-play, practical tests, a presentation and/or psychometric assessment.

Operational Requirements
Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week. Occasional overtime, including evenings and weekends, may be required with advance notice.
Conditions of Employment
- Eligibility for a Government of Canada Reliability Status which includes a criminal and credit background check; and
- Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions. In this respect, applicants must confirm independent work authorization in the United States (e.g. US Citizen, U.S Legal Permanent Resident (LPR), or specific visa categories (e.g. dependents of Diplomatic and Official Visas holders)) as required by the Department of State for employment in a foreign mission.
