Full-Time Payroll Accountant

Job Description

POSITION SUMMARY: 

The Payroll Accountant is primarily responsible for processing payroll and maintaining the employee database regarding salary and pay.  Responding to all payroll-related questions and monitoring compliance with government regulations.  Provides a quality experience to staff focused on YMCA core values: honesty, respect, responsibility, and caring.

Payroll:

  • Support employees/managers related to payroll matters.
  • Verify new hire/re-hire information is correct in Timekeeping.
  • Process new hire/re-hire time cards.
  • Process and verify staff changes (additional jobs, transfers, promotions, salary adjustments) in HR and timekeeping.
  • Process W4 changes.
  • Process direct deposit changes.
  • Send semi-monthly timecard approval emails to supervisors.
  • Develop and maintain exception reporting to assist supervisors to approve time by deadline in each pay cycle.
  • Process the semi-monthly payroll processing.
  • Manage additional jobs for timecards.
  • Provide data for semi-monthly payroll general ledger entries.
  • Process off-cycle checks, manual checks and monthly payroll adjustments.
  • Provide support and communication to supervisors/schools related to employees on work-study and supporting minor worker documentation efforts.
  • Manage and process work-study program, to include payments.
  • Perform various payroll reporting analysis and reconciliations.
  • Reconcile balance sheet payroll accounts.
  • Prepare weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) in timely fashion for the Controller.
  • Responsible for polling electronic time clocks and reviewing the downloaded information for completeness and accuracy. Contact various department supervisors for any missed times.
  • Respond to complaints and questions regarding payroll from employees and upper management.
  • Investigate and resolve any discrepancies in payroll.
  • Ensure proper governmental reporting and compliance.
  • Understand and comply with federal grants requirements and code payroll data accurately to meet the reporting requirements.
  • Respond to external auditors and federal monitors.
  • Recommend and develop ways to streamline payroll process, timekeeping process and improve internal controls.
  • Support Payroll Operations Manager.
  • Provide accounting support when needed.

Learning and Development:

  • Enter/verify trainings are entered into timekeeping from LMS reports
  • Support/contact with employee/managers in regards to time paid for completed trainings

Financial Development and Philanthropy:

  • Meet performance measurement by telling the Y story and raising charitable dollars to fulfill our mission.
  • Assist staff leadership team in reaching campaign goals through recruiting campaigners, making personal asks and supporting branch events.

QUALIFICATIONS:

  • Commitment to valuing and promoting diversity and contributing to an inclusive working and learning environment.
  • Associate’s Degree in payroll/accounting/finance or related field is preferred, but can be offset with a combination of some college and/or experience in payroll.
  • 2-4 years of experience in a payroll system (such as ADP or Kronos preferred).
  • Strong background in general ledger accounts and GAAP (Generally Accepted Accounting Principles).
  • Demonstrated skills in customer service, public relations, organizational skills, communications, supervision, computer knowledge, and file maintenance.
  • Computer proficiency, including practical application of MS Office suite, including Teams, and Zoom.
  • Strong proficiency in Word and Excel.
  • Organize and write procedures in a logical/methodical manner.
  • Good time management skills.
  • Excellent attention to detail.
  • Knowledge of YMCA of Pierce and Kitsap Counties’ Procedures and Policies.
  • Able to maintain confidential information.
  • Able and willing to complete online Child Abuse Prevention training on first day, and other online and in-person training as required.

Hours: Full Time – 40 hours per week
