Job Description

Premier Talent Partners is seeking an Operations Specialist to join our client’s professional services firm in San Francisco, CA (not remote eligible). This role will function as the primary point of contact to internal and external employees in the areas of onboarding, operations systems and processes, and fielding general ops/HR questions. This is a critical, busy and cross-functional role working closely with clients, Associates, consultants, and 3rd party service providers teams to ensure successful delivery of services. An effective Operations Specialist will thrive in a high value-add, fast-paced, metric driven role that requires outstanding customer service and organizational skills.

Responsibilities:

  • Train, supervise and review the work of the Operations Assistant
  • Responsible for weekly time tracking and approvals of consultant hours to meet the organization’s deadlines and policies
  • Support the onboarding and offboarding of consultants ensuring accuracy of all benefits, hourly compensation and background check requirements
  • Data entry into accounting portal (ex: onboarding employees, time-tracking of consultants, placements, projects, client and billing contacts, AP invoices and credit card charges, etc.)
  • Oversee onboarding and offboarding of internal staff ; ensure I-9 verification and background checks clearance and appropriate office supplies, hardware, and system access points are enabled/disabled or returned on first/last day
  • Enter benefits selection data and payroll deductions into accounting portal from Ease Central and review regularly to ensure accuracy
  • Review, approve and/or reject Time-Off Requests in ADP
  • Order and ship laptops and peripherals for remote employees
  • Planning and scheduling group lunches, and events as needed
  • Input office change requests/placements in ATS
  • Manage facilities, scheduling maintenance with building as required and keeping the office a clean, safe, and welcoming place to work
  • Track and reconcile Manager and Client gift expense budget to actual

Qualifications:

  • Bachelor’s degree is required
  • Minimum of 3 years professional experience in operations or people operations required. Prior experience in a lead or supervisory role is required
  • Proven ability to collaborate effectively with colleagues across time zones to meet tight deadlines daily
  • Exceptional communication skills, both verbal and written form, with the ability to work at all levels of the organization with professionalism
  • Superb customer service skills to deliver outstanding experiences to internal and external employees and clients
  • Must be able to multi-task and adapt to last minute changes
  • Ability to apply independent judgment to prioritize, highlight risk and escalate as appropriate
  • Strong organizational skills, attention to detail and ability to plan to achieve results.
  • Above average proficiency with Microsoft Office products, including Word, Excel, PowerPoint and Outlook. Interested in learning internal operations systems such as Loxo, Ease Central, and ADP time-keeping
