Duties and Responsibilities
The Office Specialist – Nursing position is directly accountable to the Dean of Health Sciences and Business for the following duties and responsibilities. The individual filling this position is expected to play a positive role in helping the College change as necessary to effectively carry out its mission.
- Perform secretarial duties and participate directly in the work of the Nursing programs.
- Serve as first point of contract for professionals, visitors, and students.
- Secure details of specialized information regarding the services and operations of the programs.
- Keep appointment calendars, schedule appointments, and coordinate meetings.
- Receive and screen calls.
- Open, process, and prioritize mail.
- Take notes and minutes at conferences, meetings, and functions.
- Maintain confidential student data.
- Use Microsoft Office Suite to process letters, forms, reports, schedules, spreadsheets, requisitions, purchase orders and related paperwork.
- Work with the Director of Nursing to maintain affiliation agreements and memorandums of understanding with clinical facilities.
- Retrieve data for reports, perform research and retrieval of records, and conduct statistical comparisons of information.
- Assist in the preparation and maintenance of department records, maintain office supplies, and monitor programs and systems.
- Assist in budget preparations and monitoring, including expenditures related to course fees.
- Assist in scheduling classes and processing faculty assignments.
- Coordinate arrangements for travel.
- Assist with the selective admissions process as needed.
- Register students in program courses as needed.
- Support College activities to enhance the positive image of the College in the community.
- Complete other duties as assigned.
- Complete annual mandatory compliance training as part of the College’s risk management program.
- Other duties as assigned.

Qualifications
- High school diploma or equivalent, plus a minimum of two years relevant work experience.
- Detail oriented and able to multi-task effectively.
- Demonstrated excellence in written and oral communication.
- Ability to deal effectively with students and the general public.
- Microsoft Office Suite proficiency. Specifically, a working knowledge of Word and Excel.
- Ability to work as a team member and show a capacity for professional growth and development.
- Associate degree or higher preferred.
- Knowledge of medical terminology preferred.
- Work experience in the higher education setting preferred.
