We are seeking a motivated individual to play a key role in driving growth and opportunity at a dynamic engineering firm. The Marketing/BD Coordinator will be an essential part of our marketing and business development team. This position supports our company’s expansion by managing a full pipeline of project opportunities, preparing proposals, and enhancing the company brand visibility across diverse channels. You’ll collaborate with our Marketing Director, Business Development Director, and talented team members to research, track, and document project pursuits, craft compelling marketing materials, foster client relationships, and uphold our brand standards.

$ 65,000-$85,000 per year

JOB SUMMARY:
The Marketing/BD Coordinator is an integral part of our marketing and business development team. This role is responsible for supporting the company’s growth through comprehensive marketing and business development support efforts. This role is pivotal in ensuring a full pipeline of project opportunities, assisting in proposal preparation, and assisting in the promotion of the company’s brand across various channels. The Marketing/BD Coordinator collaborates closely with the Marketing Director, Business Development Director (BDD), and other team members to research, track, and document project pursuits, develop marketing materials, support client relationship-building, and uphold brand standards.
This position requires up to 10% travel.
KEY RESPONSIBILITIES:
The Marketing/BD Coordinator collaborates with the Marketing Director, BDD, and other team members to implement marketing strategies and assist with business development activities. This role must be knowledgeable about our work and clients and will support a wide range of marketing tasks and company functions. This role will take ownership of researching and tracking project opportunities, documenting our work, developing and supporting qualifications packages, and ensuring everything we produce meets our brand standards with visual and verbal excellence. The Marketing/BD Coordinator will have the opportunity to be involved in a wide range of projects. Key responsibilities include, but are not limited to, the following:
Develop Qualifications Packages:
- Coordinate with staff, prime consultants, and subconsultants to develop targeted qualifications.
- Create and update resumes, project descriptions, narratives, and marketing materials.
- Organize and lay out qualifications packages in response to requests for qualifications (RFQs) while adhering to the company brand standards.
- Demonstrate the ability to adhere closely to the specific requirements of RFQs, including content, organization, and formatting, blending creativity with meticulous attention to detail.
- Provide quality control (QC) review of documents prepared by others.
- Track and document outcomes and maintain records in a database.
Research, Track, and Document Projects:
- Identify and track potential project pursuits in the company’s geographic regions: Pacific NW, Inland NW, and Mid-Atlantic.
- Maintain accurate project information, working with engineers to develop job descriptions and track statistics.
Support Company Brand and Public Image:
- Regularly review and update the website, including blog posts and project updates.
- Support company social media presence to maintain a consistent brand message.
Assist in Marketing Campaigns:
- Assist the Marketing Director in executing marketing initiatives and campaigns.
- Track marketing goals and organize the celebration of staff and company accomplishments.
Business Development Support:
- Assist in researching and identifying potential business opportunities and client targets.
- Make and track assignments related to business development pursuits.
- Develop an understanding of company clients, their key staff, priorities, and areas of expertise.
Assist with Client Relationship Management:
- Participate in professional organizations and events to support relationship-building efforts.
- Support the BDD in organizing client meetings, follow-ups, conferences, and events.
- Help maintain an organized and updated database of clients and contacts.
Other Responsibilities:
- Actively Support the Company Vision, Values, and Purpose:
- Participate in teams supporting the company strategic vision.
- Identify and implement process improvements.
- Coach and mentor marketing staff and engineers.
- Administrative Support:
- Assist in administrative tasks related to marketing and BD efforts, including tracking expenses, managing schedules, and organizing events.
- Event Coordination:
- Assist with planning and coordinating events such as client appreciation events, open houses, and professional networking events.
Travel Requirements:
- Up to 10% travel to branch offices and occasional trips to industry events, client meetings, and conferences.
QUALIFICATIONS:
Education:
- Associate or bachelor’s degree in Communications, English, Journalism, Graphic Design, Marketing, or a related field a plus.
Experience:
- 3+ years of relevant work experience, preferably in the AEC industry.
Skills, Knowledge, and Capabilities:
- Strong written, verbal, and visual communication skills, including command of grammar and punctuation.
- Ability to write clearly and persuasively, incorporating technical information into materials for a lay audience.
- Experience with InDesign and other Adobe Creative Suite programs.
- Proficiency with Microsoft Word and Excel.
- Flexibility to manage shifting priorities and multitask.
- Ability to consistently meet tight deadlines with quality work.
- Experience using graphic design principles including typography, page layout, and website design.
- Strong understanding of marketing principles, strategies, and best practices, with an emphasis on responding to requests for qualifications (RFQs) and ability to communicate technical information to a lay audience.
- Ability to work collaboratively with leadership, marketing and support staff, engineers, and clients.

Experience with the following is a plus:
- FileMaker Pro database software.
- Graphic design and photography.
- Business development and experience in the engineering or AEC industry.
- Involvement with community organizations.

- Timely and successful completion of qualifications packages and RFQs.
- Accurate tracking and documentation of project opportunities and pursuits.
- Effective support of business development activities.
- Consistent maintenance and enhancement of online presence, including the website and social media.
- Contribution to achieving marketing and business development goals and objectives.
