Full-Time Manager of Development Operations, Faculty of Medicine
Job Description
The University of British Columbia UBC
Manager of Development Operations, Faculty of Medicine
At UBC, we believe that attracting and sustaining a diverse workforce is key to the successful pursuit of excellence in research, innovation, and learning for all faculty, staff and students. Our commitment to employment equity helps achieve inclusion and fairness, brings rich diversity to UBC as a workplace, and creates the necessary conditions for a rewarding career.
The team:
Working for UBC Faculty of Medicine means you will be part of a high performing, dynamic team of individuals who care deeply about our vision to transform health for everyone and work collaboratively to achieve our collective annual fundraising goal of $90M+ for the Faculty of Medicine.
Our team operates with the shared understanding that every team member has a specialized role to play in the engagement of our donors and alumni. We consider major gift fundraising to be a team sport, and we collaborate to develop the most effective engagement strategies for our constituents. Our role is to align donor aspirations with Faculty priorities to fund impactful initiatives in research, training and infrastructure. We strive to cultivate welcome, inclusion and belonging in our workplace so that we can achieve our team goals and Faculty vision.
The role:
The Manager of Development Operations will be a member of the Faculty of Medicine Development & Alumni Engagement senior leadership team that develops, implements and oversees best practices across the entire team (~30 FTE) to ensure we are resourced, supported and aligned to meet our development and alumni engagement goals.
The incumbent will have a sharp focus on cross-cutting operational support, sub-group coordination, systems-level integration, facilitation and collaboration, logistics support, and project management support. They will emphasize team-wide facilitation and collaboration and will enhance congruency among the work groups on the team: Frontline Fundraising, Strategic Initiatives, Development Operations and Alumni Engagement.
The Manager of Development Operations will bring expertise in operational excellence, administrative strength, proficiency with tools and technology, and a willingness to embrace change and effectively support change management. Specifically, proficiency with Microsoft 365 applications (i.e. Task by Planner, Loop, functions of MS Teams), Blackbaud databases (specifically LINKs), NOTA, Envoke, project management tools and AI-based tools to help achieve new levels of efficiency would be of value. In addition, we are looking to add skills and experience in data analytics to our team to inform decision-making in all facets of the portfolio.
The incumbent should have a strong understanding of relationship management, and ideally a foundational understanding a fundraising and advancement work. They will need to be adept in establishing strong, trusting relationships with colleagues, and leveraging those interpersonal skills to collate context and information from all the work groups and the leadership team to effectively triage tasks and projects to staff for effective implementation. The disposition of the Operations Manager is to work broadly – with the entire team’s strategic goals and objectives in sight – while leveraging the expertise of staff members for specific tasks, and championing principles of working that help staff grow and develop. Demonstrated strong leadership skills, including coaching and mentorship of junior staff, are instrumental for the role. Relatedly, the Operations Manager should provide autonomy and allow staff to take ownership of their work.
As a collaborator, the Operations Manager must be well-versed in handling difficult and sensitive conversations. We expect the incumbent to be an advocate and a champion for the work of the Development Operations group and its interconnectedness within the broader Faculty of Medicine DAE ecosystem, while managing expectations both within and outside the Development Operations group. The portfolio is large and complex and requires an individual who has expertise in advancing systems underscored by chain-link logic.
The qualifications:
The ideal candidate will have an undergraduate degree, a minimum of eight years related experience, proven success in an operational leadership role, systems development and implementation and staff coaching and supervision.
We are looking for someone with effective and inclusive communication skills, along with the tact, diplomacy, discretion and sound judgment required in building relationships with direct reports, peers, faculty members and members of university leadership. The ability to delegate and support colleagues to work collectively to achieve our overarching goals is necessary.
Well-developed analytical and problem-solving skills are required, including data analytics, along with strategic thinking and skills in conflict resolution. The successful candidate will also possess strong conceptual abilities combined with high attention to detail and the ability to work simultaneously on a variety of complex projects with deadlines is required.
Thorough knowledge of the university environment and academic structure and experience working with a centralized fundraising system would be an asset.
Please note, we are evaluating and interviewing applicants on a continuous basis, throughout the posting period.
