Job Requirements

  • Bachelor’s degree required. A minimum of five to 10 years of Executive Administrative experience supporting C-Level Executives. Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) required, with experience in Adobe Acrobat, Visio, Project, and other board software preferred.
  • Expert-level verbal and written communication skills.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
  • Emotional maturity.
  • Highly resourceful team player, with the ability to also work independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions.
  • Ability to align schedule with business needs, including periodic work on evenings and weekends.

Job Summary

The Executive Administrative Assistant reports directly to the CEO/President and provides executive administrative support in a one-on-one working relationship with the CEO/President while providing support as needed for other senior leadership team members.

The Executive Administrative Assistant to the CEO/President will be an experienced

Key Responsibilities

  • Plans, communicates, coordinates, and executes the CEO/President’s and other support persons’ schedules. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO/President.
  • Anticipates and successfully/timely completes deliverables which facilitates the CEO/President’s ability to effectively lead Ingleside.
  • Creates presentations and other documents to support the CEO/President’s work, ensuring that those documents reflect the organization’s mission, vision, values, and commitment to an excellent work product.
  • Uses exceptional communication capabilities to draft, edit, and finalize documents that accurately and professionally reflect Ingleside’s business operations.
  • Provides support for the CFO and SVP of Human Resources and Compliance.
  • Is professional in appearance, behavior, communication, performance, and presence.
  • Demonstrates professional development/skills competency in all areas.
