Executive Assistant

REPORTS TO: CEO                              FLSA: Non-Exempt

JOB SUMMARY: Provides high-level executive and administrative support primarily for the Chief Executive Officer (CEO).  Applicants must be organized, detail oriented and able to work in a fast-paced, action-packed environment that serves clean athletes and sport.  Candidates must also be able to work independently and be self-starters.  Position will handle executive administrative functions including CEO office organization, word processing, filing, taking minutes, setting meeting agendas, reviewing incoming emails and documents, conducting research, and preparing reports.

 

RESPONSIBILITIES:

  • Organize and run the CEO office
  • Answers telephones and take messages or transfer calls
  • Schedules appointments and update event calendars
  • Arranges staff meetings and documents meeting minutes
  • Handles incoming and outgoing email and mail
  • Prepares memos, invoices, or other reports
  • Word processing
  • Maintains databases and filing systems, whether electronic or paper
  • Handles CEO travel

  • Projects and other duties as assigned

  • Proficiency in MS Programs (Word, Excel, Outlook, etc.)
  • Decision making skills.EA will often prioritize tasks and make decisions on their USADA’s behalf, so good judgment is essential.
  • Interpersonal skills.This role should communicate effectively and be professional and courteous when interacting with others to create a positive work environment and client experience.
  • Organizational skills.Will be responsible for maintaining files, folders, and schedules in proper order so an office can run efficiently.
  • Writing skills.Will write memos and emails when communicating with managers, employees, and customers. Therefore, having good grammar, ensuring accuracy, and maintaining a professional tone are essential.
