Job Description

POSITION SUMMARY

Provide administrative support to the CEO and COO by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. In addition, this position will assist with developing and maintaining community outreach relationships and events.

ESSENTIAL FUNCTIONS

  • Manage daily calendar and email correspondence in support of CEO, COO
  • Act as the point of contact between senior management, staff, and community organizations
  • Make travel, meeting and event arrangements as needed
  • Coordinate meetings and conference calls
  • Coordinate the preparation of board meeting and board committees, including meeting minutes
  • Assist in event planning and execution
  • Assist with preparation and submission of grant applications and reports, as needed
  • Handle requests and queries appropriately
  • NorCal representative and liaison to community organizations as assigned
  • Oversee portions of NorCal website relating to compliance responsibilities
  • Assist in the preparation of staff meetings; prepare meeting materials, organize virtual setup, and take meeting minutes; transcribe and distribute meeting minutes and recordings as appropriate
  • Trusted with handling sensitive information and upholding confidentiality
  • Assist the CEO with legislative outreach and government relations
  • Performs other duties as assigned

  MINIMUM QUALIFICATIONS

  • Minimum of three years related experience or equivalent

  ESSENTIAL PHYSICAL REQUIREMENTS The physical requirements listed are representative of those that must be met by an employee to successfully perform the essential functions and key responsibilities of this position. The ability to work in a constant state of alertness and in a safe manner at all times.  Frequent operation of computer and other office equipment, the ability to sit at a workstation for long periods of time, stand, walk, climb stairs, bend, lift, twist, pull, push, carry, grasp, reach and stoop as need, and to occasionally lift and carry items up to 25 pounds.  Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.   WORKING CONDITIONS The noise level in the work environment is usually quiet to moderate.  The employee works in an office environment.  Work may require occasional weekend and/or evening work.  Occasional travel may be required.   In addition, the individual must be punctual, have a good attendance record, a valid driver’s license, have reliable means of transportation to work and current vehicle insurance.   WHAT WE OFFER This is a part-time 32 hour per week, non-exempt, hourly position, at $20-23 per hour, depending on experience.
