Part-Time Event Project manager (Contract)

JK is looking for a CONTRACT event project manager with experience in both in-person and virtual event management. That means communicating clearly and consistently with all stakeholders, staying on top of every detail, and closely tracking every project from start to finish.

Responsibilities

  • Manage up to three events simultaneously, coordinating and tracking event logistics and deliverables from inception through completion.
  • Create and update event documentation.
  • Lead and manage client communications and account documents (meeting agendas, meeting recap reports, etc.).
  • Communicate with and manage internal project teams, ensuring that each project phase is delivered on time and on budget.
  • Lead internal and client/vendor meetings by facilitating efficient discussions, eliciting updates, and tracking each event’s progress and deliverables.
  • Ensure that all deliverables are reviewed through appropriate QA processes.
  • Track expenses and update event budgets to ensure projects remain within scope; proactively address issues and challenges with the account team lead.
  • Actively seek ways to improve the event team’s workflows and communication by documenting all processes and bringing new ideas to the table.

  • Develop strong client relationships, building trust and confidence.
  • Ensure that all project teams are informed about project status, deliverables, and expectations.
  • Demonstrate a strong understanding of all aspects of event management.
  • Maintain a positive and collaborative attitude and work environment.
  • Demonstrate a comprehensive understanding of—and adherence to—internal standards and processes; when necessary, assist in documenting and implementing new or updated protocols.
  • Develop a solid understanding of each client’s business and ways of working.
  • Demonstrate a commitment to project quality assurance and flawless execution.
  • Identify and troubleshoot potential issues and roadblocks; proactively enlist the support of account leadership as necessary.
  • Stay up to date on the latest event industry trends.

Requirements

  • Minimum of three years of event project management experience (live and virtual).
  • Agency experience is preferred, but not required.
  • Proven track record of successfully managing multiple projects with competing priorities, deadlines, and stakeholders.
  • Experience producing complex virtual events with multiple sessions for a large audience.
  • Familiarity with current industry standards for virtual events; ability to keep up with emerging trends and incorporate new best practices into existing processes.
  • Strong time management and organizational skills.
  • Strong presentation skills.
  • Ability to work collaboratively with project teams and build strong working relationships.
  • Ability to write clearly and cogently; experience developing proposals, SOWs, creative briefs, and client correspondence (meeting recaps/notes, emails, etc.).
  • Driven, proactive, enthusiastic team player who thrives in a collaborative culture.
  • Strong understanding of Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Calendar, Meet, etc.).
  • Experience with common project management software platforms (e.g., Basecamp, Smartsheet).
  • Experience managing events in the healthcare space is a plus.

Location

Currently, this is a CONTRACT and remote/work-from-home position. When conditions allow, this position will require some level of in-person attendance in the office and at events, based on agency and client requirements. No relocation is available. Occasional travel throughout the NJ/NY/PA area (and sometimes beyond) may be required in the future.

Compensation

JK Design offers competitive hourly rates for contract workers and salary consistent with the current market, as well as health insurance, paid time off, 401(k), and other benefits, for full time employees.
