Job Description

We are seeking a motivated and proactive ERP Support Specialist to join our ERP Team to support both our ongoing transition to Workday & our existing SAP landscape. This role offers an excellent opportunity for a junior professional to grow into a well-rounded ERP expert with exposure to technical and functional aspects of enterprise systems, integrations, and business processes.

The successful candidate will play a key role in providing 1st and 2nd level support to end users, assisting with ticket resolution, and gaining a deeper understanding of the full ERP ecosystem at EMBL. This position is critical to ensuring system stability, user satisfaction, and the long-term success of our digital transformation initiatives.

Key Responsibilities

  • Provide 1st and 2nd level support for end users across Workday and SAP, including but not limited to:
    • User access and authentication issues
    • Workflow errors and data inconsistencies
    • Functional inquiries related to business processes
    • Troubleshooting minor technical issues
  • Monitor and triage tickets from Workday Help Case, Kayako, and other ticketing tools; ensure timely resolution and appropriate escalation when needed.
  • Assist in documentation of support processes, standard operating procedures, and FAQs for internal use.
  • Support the ERP Team in managing:
    • ERP integrations between Workday, SAP, and other peripheral systems (e.g. Document archive, Banking software, Health insurance administrator, Central user database).
    • Support system testing during updates, especially when Workday releases new features twice a year, to help ensure existing functionality continues to work as expected.
  • Support user acceptance testing (UAT) by helping coordinate test scenarios, preparing test users, and assisting in capturing and verifying results — especially during new releases or configuration changes in Workday or SAP.
  • Assist with onboarding and training support for new ERP users by helping set up access, answering initial questions, and supporting functional colleagues during training sessions.
  • Collaborate with functional and technical teams to identify recurring issues, propose improvements, and support the implementation of minor fixes.
  • Gain a deep understanding of the full ERP landscape, including both technical architecture and business processes, with a clear growth path towards more specialized roles.

Qualifications and Experience

  • A university degree or relevant vocational training in Information Systems, Computer Science, Business Administration, or a related field.

You might also have

  • Initial exposure or interest in Workday and/or SAP systems (training will be provided).
  • Familiarity with ticketing tools or experience in IT/user support environments.
  • Understanding of ERP concepts, system workflows, and basic integration principles.

Personal Competencies

  • Excellent troubleshooting and communication skills, with a customer-oriented mindset.
  • Strong team player with a willingness to support colleagues and contribute to a collaborative work environment.
  • Demonstrates initiative and curiosity, eager to learn, grow, and take ownership of assigned tasks.
  • Active listener who strives to understand system landscape and interdependencies, as well as business needs and challenges
  • Ability to work independently after initial onboarding and training.
  • Organized, reliable, and detail-oriented in managing support workflows.
